THE OPPORTUNITY: PAYROLL SPECIALIST

We’re looking for a detail-oriented and organized Payroll Specialist to join our team. In this role, you’ll be responsible for the accurate and timely processing of biweekly payroll for our 300 employees. Responsibilities

KEY RESPONSIBILITIES:

  • Payroll Processing:
  • Process bi-weekly payroll for all salaried and hourly employees, ensuring the accuracy of wages, salaries, benefits, deductions, and statutory remittances.
  • Review and verify all payroll inputs, including new hires, terminations, changes in compensation, benefit enrollments, and leaves of absence.
  • Calculate and process special payments such as bonuses and commissions.
  • Reconcile payroll data to ensure accuracy and resolve any discrepancies.
  • Import timesheet data from NetSuite on a weekly basis and verify hours with management as discrepancies arise
  • Compliance & Reporting:
  • Ensure strict adherence to all federal and provincial payroll legislation (e.g., Canada Revenue Agency (CRA) regulations, Employment Standards Act (ESA), workers’ compensation).
  • Prepare and submit all required payroll remittances (e.g., source deductions, WSIB/CSST).
  • Prepare payroll & benefit journal entries following each payroll run.
  • Assist with the generation and distribution of T4s, ROEs, and other year-end tax forms.
  • Prepare various payroll reports for management, finance, and HR as required.
  • Stay informed about changes in payroll legislation.
  • System Management & Improvement:
  • Maintain accurate employee records within the ADP payroll system for multiple divisions.
  • Identify opportunities for process improvements to enhance efficiency and accuracy.
  • Employee Support:
  • Act as a point of contact for employee payroll inquiries, resolving issues promptly and professionally.
  • Provide clear and concise explanations of payroll-related matters to employees.
  • Other duties:
  • Work closely with HR, Finance, and other departments to ensure seamless information flow and data accuracy.
  • Help keep payroll & employee files up to date as required
  • Prepare semi-monthly benefit reporting & invoices for management approval and follow up to obtain approval as required
  • Assist with internal and external payroll audits.
  • Other duties as needed

WHAT YOU’LL NEED TO BE SUCCESSFUL IN THIS ROLE:

  • Education:
  • Post-secondary education in Accounting, Finance, Business Administration, or a related field.
  • Payroll Compliance Practitioner (PCP) certificate is a must
  • Experience:
  • Minimum of 3-5 years of experience in payroll processing.
  • Experience in processing payroll that includes importing data
  • Experience in processing payroll for both hourly and salaried employees.
  • Experience in processing multi-division payroll is a must
  • Familiarity with Canadian payroll legislation, including federal and provincial tax laws.
  • Skills:
  • Proficiency with payroll software with ADP WFN a strong asset.
  • Strong Microsoft Excel skills.
  • French language skills a strong asset.
  • Exceptional attention to detail and accuracy.
  • Strong analytical and problem-solving abilities.
  • Accounting skills pertaining to payroll (GLI reporting)
  • Excellent communication (written and verbal) and interpersonal skills.
  • Ability to handle confidential information with discretion and integrity.
  • Strong organizational and time management skills, with the ability to prioritize and meet deadlines.
  • Ability to work independently and as part of a collaborative team.
