POSITION SUMMARY

Reporting to the Director of Human Resources, the Payroll Specialist plays a critical role in ensuring accurate, timely, and confidential payroll processing for our growing team of 500+ employees across multiple sites in the GTA. This role also supports with HR administrative functions including employee records management, compliance documentation, and the coordination of health & safety reporting processes.

QUALIFICATIONS

  • 3+ years of payroll processing experience with proficiency in ADP Workforce Now (required).
  • Post-secondary education in Human Resources, Accounting, or a related field; PCP designation (an asset).
  • Demonstrated ability to manage payroll for mid-sized to large organizations (500+ employees).
  • Experience supporting HR administration and regulatory documentation in a fast-paced, multi-site environment.
  • High attention to detail and accuracy, with a strong sense of urgency and ownership.
  • Proven ability to work with highly sensitive and confidential data with discretion.
  • Experience supporting or leading HRIS implementation projects is a strong asset.
  • Strong proficiency in MS Office (Excel, Word, Outlook); ability to learn new systems quickly.
Responsibilities

KEY RESPONSIBILITIES

  • Full-Cycle Payroll Processing: Execute weekly payroll for 500+ employees across multiple business units using ADP Workforce Now, ensuring compliance with all applicable legislation and company policies.
  • Accuracy and Confidentiality: Uphold the highest standards of confidentiality and accuracy when handling sensitive payroll and employee information.
  • HR Administrative Support: Assist with HR functions including onboarding, employee record maintenance, benefits administration, and employee inquiries.
  • Employee File Management: Maintain organized and up-to-date records, including contracts, tax forms, benefits documentation, and compliance-related training records.
  • Compliance & Health & Safety Tracking:
  • Track and file routine health & safety documentation including temperature logs, sweep logs, incident reports, JHSC inspection reports, and training records.
  • Ensure all logs are up to date and compliant with legislative and internal audit requirements.
  • Liaise with the JHSC and Operations team to coordinate monthly inspections and quarterly meeting documentation.
  • Systems Maintenance: Support the implementation, training and maintenance of new HRIS systems or enhancements to existing platforms, ensuring data integrity and end-user adoption.
  • Reporting: Generate payroll, compliance, and HR reports to support audits, management decisions, and strategic planning.
