Location: Vaudreuil-Dorion, QC or Oakville/Burlington, ON

We are seeking a detail-oriented and experienced Payroll Supervisor to manage and oversee the payroll processing for employees across Canada and the United States. Reporting to the HR Operational Excellence Manager, the Payroll Supervisor will ensure timely and accurate payroll execution, compliance with federal and provincial/state regulations, and continuous improvement of payroll processes and systems. This role requires a strong understanding of North American payroll practices and the ability to lead a team while working collaboratively with HR, Finance, and external vendors.

What would be your main responsibilities as a Payroll Supervisor?

  • Supervise and manage end-to-end payroll processing for Canadian and U.S. employees (bi-weekly, semi-monthly), ensuring accuracy, timeliness and compliance.
  • Ensure compliance with Canadian federal/provincial and U.S. federal/state/local laws and regulations (e.g., CRA, IRS, FLSA, CPP, EI, WSIB, etc.).
  • Review and approve payroll transactions, calculations, deductions, and tax filings.
  • Maintain payroll records and ensure data integrity within HRIS and payroll systems; review daily transactions (new hires, promotions, terminations, timesheets, etc.)
  • Execute year-end payroll activities (T4s, RL-1s, and W-2s, government filing).
  • Manage and resolve payroll discrepancies, employee inquiries, and audit requests in a timely and professional manner.
  • Verify and process remittances to government agencies and other entities (income tax, health insurance, WCB/CNESST, etc.).
  • Responsible for payroll system changes and configuration; creation of new payroll groups, integration of new States/Provinces, set up new earning codes, deductions, taxable benefits.
  • Manage and update payroll system data, including employment insurance rates and workers’ compensation rates.
  • Process Records of Employment for terminations, special payments, adjustments, and additional compensation (allowances, incentives, garnishments, etc.)
  • Oversee time and labour tracking process for all Canadian-based hourly staff.
  • Partner with HR and Finance departments for benefit deductions, expense reimbursements, bonuses, and other earnings.
  • Collaborate in partnership with Senior Pension & Benefit Advisor to ensure the administration of 401K Plan, Health & Vision, Dental, Life Insurance, and AD&D benefit programs for US.
  • Lead internal and external audits in both countries (e.g., CNESST, WCB, Government agencies, CRA).
  • Develop and document standard operating procedures and ensure team compliance.
  • Monitor legislative updates in Canada and the U.S. to ensure ongoing payroll compliance.
  • Identify and implement process improvements to optimize payroll operations.
  • Provide excellent customer service to managers and employees.
  • Support special projects as required.

What are the required skills and qualifications needed for this role? :

  • Bachelor’s degree in Administration, Finances, Human Resources or equivalent
  • Minimum of 8+ years of managing U.S. and Canadian Payroll systems including payroll regulations and compliance requirements, State/Provinces tax compliance and year end processing.
  • Certified Payroll Professional (CPP) or Payroll Compliance Practitioner (PCP) designation / U.S. or Canadian Payroll Designation (or working towards Designation)
  • In-depth knowledge of Canadian and U.S. payroll legislation.
  • Experience with multi-provincial and multi-state payroll processing.
  • Strong analytical and problem-solving skills; attention to detail is a must.
  • Proficiency with Payroll & HRIS systems and time and attendance management systems (timesheets).
  • Strong knowledge of Dayforce (Ceridian) would be considered a strong asset. You must have HRIS exposure.
  • Solid understanding of payroll accounting and general ledger reconciliation.
  • Demonstrated ability to manage confidential information with discretion.
  • Excellent auditing and analytical skills.
  • Ability to manage multiple priorities, meet deadlines, and work under pressure.
  • Discretion, attention to detail, analytical mind, problem-solving skills, and organizational skills.
  • Excellent communication, leadership, and strong customer service skills.

Compensation Information: The annual base pay range for this position is reasonably expected to be $85,900 to $145,000. Please note that the base pay shown is a guideline, and individual total compensation will vary based on factors such as job-related knowledge, skills, education, and experience.
Base salary is only a part of the total rewards package - this role will also be eligible for a generous incentive program and full benefits. Quadra’s salary ranges are benchmarked and are determined by role and level. Please note that the base pay shown qualifications, skill level, competencies, and work location.
