PREFERRED QUALIFICATIONS:

  • 2+ years of experience in payroll tax or multi-state payroll processing
  • Familiarity with ADP SmartCompliance and PeopleSoft preferred
  • Strong understanding of payroll tax laws, filings, and reconciliations
  • Experience working with high-volume, multi-state payroll and tax notices
  • Excellent attention to detail and analytical skills
  • Proficiency in Excel (VLOOKUPs, pivot tables), and comfort working with large data sets
  • Experience with international payroll (Canada, Puerto Rico) is a plus

Responsibilities

ABOUT THE PAYROLL TAX SPECIALIST ROLE

As the Payroll Tax Specialist, you will be responsible for overseeing federal, state, and local payroll tax compliance for a multi-state employee population. This includes timely filings, tax reconciliations, and agency correspondence. You’ll play a key role in ensuring payroll tax accuracy and supporting continuous process improvements.

KEY RESPONSIBILITIES:

  • Prepare and file timely federal, state, local, and international payroll tax returns (941, 940, state unemployment, etc.)
  • Ensure accurate and timely deposits of payroll tax liabilities
  • Register new accounts and maintain compliance across all jurisdictions (U.S., Puerto Rico, Canada, etc.)
  • Review and reconcile tax control reports during each payroll cycle
  • Collaborate with payroll and accounting teams to ensure accurate general ledger postings
  • Research and respond to payroll tax notices and inquiries from agencies
  • Partner with 3rd party vendors (e.g., ADP SmartCompliance) to manage filings and account maintenance
  • Assist with W-2, 1099, and year-end tax reporting
  • Identify and support opportunities for process improvement and automation
  • Maintain up-to-date documentation and compliance records
