JOB SUMMARY

Under immediate supervision of the Supervisor, Payroll Services, this position follows general instructions and well-defined procedures and practices to perform standardized payroll and personnel transactions for specific actions, categories of employee or campus departments.

KNOWLEDGE SKILLS AND ABILITIES

The candidate should possess adequate, transferable experience in HR, payroll, financial, or related administrative functions, along with the ability to take direction, assimilate information, and learn all aspects of the role. They must be capable of independently interpreting and applying policies and procedures in alignment with CSU guidelines and accurately entering data with zero errors into systems such as PJMS and PeopleSoft HR. Strong analytical skills are essential for reviewing detailed numerical records, identifying and correcting errors, and resolving issues effectively. The role requires attention to detail, the ability to meet deadlines under pressure and frequent interruptions, and proficiency in complex arithmetic computations. Excellent public-facing communication skills, solid command of English grammar, spelling, and punctuation, and familiarity with general office procedures are also necessary. A team-oriented, self-starting attitude is key to thriving in this environment.

EDUCATION AND EXPERIENCE

Equivalent to one year of experience in preparing and processing payroll/personnel documents required.

PHYSICAL SUMMARY

  • Sedentary work - Involves mainly sitting. Walking and standing are minimal. Lifting is limited to lightweight objects. (10 pounds or less).
Responsibilities
  • Personnel/Payroll Information Management System (PIMS) Payroll Processing for Salaried and Hourly Employees - Under immediate supervision of the Payroll Supervisor and additional oversight by higher level payroll technicians, the Payroll Tech I will process payroll and related personnel documents using the State Controller’s Office PIM/PIP payroll system.
  • Customer service to assist employees and departments - Tactfully and clearly explain basic procedures and policies to individuals and departments who have minimal knowledge of payroll and personnel related processes and procedures. Interfaces with employees when problems with pay arises. Determines necessary procedures to remedy situations. Work cooperatively with colleagues, staff, management, faculty and students.
  • File maintenance - Back up counter during peak periods or as requested. Prepares or assists in preparation of special projects. Files transactions according to the department’s filing system.
  • Payroll accounts receivables (AR) tracking - Research outstanding payroll and benefits accounts receivable and salary advance balances. Assures employee due process occurs whenever overpayments result in an AR account receivable to be established against an employee. This is most appropriate accomplished in a written form.
