About the role

Coordinate day-to-day People Operations across Institute for Social Neuroscience (ISN), providing reliable employee-lifecycle administration, workforce records, manager support and continuous improvement. The position provides confidential case administration for sensitive matters led by the General Manager and maintains accurate, timely and service-focused People processes.

Key responsibilities

  • Coordinate recruitment, appointment, onboarding, probation, employment changes, performance cycles, development and offboarding
  • Maintain service standards, priorities, workflow registers and approved procedural guidance for repeatable People processes
  • Administer approved recruitment and commencement processes, including advertisements, candidate administration, checks, references and appointment documentation
  • Prepare routine non-executive contracts, variations and extensions from approved information and maintain complete supporting records
  • Maintain the authoritative employee record, establishment data, contracts, qualifications, registrations, licences, checks, leave and lifecycle documentation
  • Coordinate approved payroll-impacting information and supporting records with the authorised payroll processing function by required deadlines
  • Provide managers with procedural guidance for routine non-executive employee matters within approved policy
  • Maintain confidential chronologies, evidence files, correspondence records, meeting arrangements and procedural documentation for matters led by the General Manager
  • Act as the People-function owner of Employment Hero, including People-process requirements, authoritative employee data, workflow rules, templates and reporting requirements
  • Initiate approved onboarding, employment-change and offboarding access requests with clear authorisation and effective dates

About you

  • A relevant tertiary qualification in human resources or a related discipline, or an equivalent combination of relevant experience and capability
  • Demonstrated experience coordinating recruitment, contracts, onboarding, employment changes, records, performance cycles and offboarding
  • Demonstrated previous experience using Employment Hero, with practical familiarity in maintaining employee records, workforce workflows, approvals and reporting
  • Working knowledge of Australian employment frameworks and the ability to recognise risk and escalate appropriately
  • Strong organisation, quality assurance, written communication and confidential case-administration skills
  • Demonstrated ability to improve repeatable processes, prepare clear guidance and manage competing deadlines through to completion
  • Experience in higher education, health, clinical or another regulated environment is desirable
  • National Police Check and Working with Children Check
  • Compliance with applicable legislation, privacy, confidentiality, information security, records management, OHS/WHS and approved ISN policies, procedures and delegations
