ABOUT THE ROLE

We are looking for an energetic People & Culture and Talent Acquisition Coordinator to join our team!
You will have the opportunity to provide administrative support and expertise to the People & Culture Department, responding to requests and concerns efficiently, courteously, and professionally to achieve maximum satisfaction for employees, candidates, or vendors while complying with all Four Seasons policies.

SPECIFIC JOB RESPONSIBILITIES - ADMIN

  • Maintain complete files for all current and former employees.
  • Assist with the hiring process, process new hire paperwork, and registration in the time clock system.
  • Maintain, generate, and update all records in WD, Quidgest, and Ontrack. Renew fixed-term and indefinite contracts.
  • Prepare employment certificates.
  • Maintain locker control.
  • Process inter-hotel and intra-hotel transfer requests, including copying files.
  • Process employee terminations.
  • Responsible for the administrative process of voluntary resignation, termination-rehire (resignation, notify or confirm with manager, roadmap, explain severance date, deliver Departure Checklist form, apply termination in WD and Quidgest report to PC terminations group and general terminations).
  • Coordinate the logistics of the termination process (request severance, send scanned severance documents to relevant parties, receive severance sheet for payment scheduling, schedule termination day logistics, and notify security via email. Responsible for the administrative process of non-renewal (confirmation of non-renewal contracts, evaluation files, feedbacks, AD, print resignation form, termination in Quidgest and WD).
  • Charge for replacements (registration cards, driver’s licenses, access keys, etc.). Support the payroll department by entering new bank accounts into the Quidgest system.
  • Follow up on the indefinite contract process. Control and filing of Life Insurance.
  • Maintain accurate employee records, including personal information.

SPECIFIC JOB RESPONSIBILITIES – TALENT ACQUISITION:

  • Display warmth, care and genuine enthusiasm when dealing with our internal customers.
  • Internal communication: prepare documents to update our intranet, update our information boards and prepare emails to be sent by P&C mailbox.
  • Partnering with Hiring Managers to assess talent needs.
  • Master Workday recruitment and LinkedIn Recruiter.
  • Making the candidate and hiring manager experience your top priorities;
  • Sourcing candidates through various channels such as databases, job boards, networking, referrals, LinkedIn and social media.
  • Conduct screening and initial interviews to evaluate candidates’ qualifications and fit for the role.
  • Coordinate interviews, reference checks and assessments, ensuring a timely and thorough evaluation of candidates.
  • Preparing hiring related documents as job descriptions, interview notes, job advertisements and updating reporting files.
  • Support recruitment for leadership positions.
  • Responsible for creating job requisitions at all levels and ensuring all candidates apply through WD.
  • Maintain accurate records of recruitment activities and candidate pipelines.
  • Assist in the preparation and management of the onboarding process for new hires.
  • Coordinate relationships with Universities and schools.
  • Support the TA Manager in the logistics for recruitment fairs, events and job fairs.
  • Enhance the company’s presence in the talent market by promoting the company’s culture, values, and career opportunities through social media, job fairs, and industry events.
  • Be the focal point for the interns during their internship program.
  • Be the focal point for inbound and outbound taskforce assignments, leasing with the other hotels to ensure effective logistics.
  • Suggest changes to improve and simplify our HR and Talent Acquisition processes.
  • Evaluate applicants, verify references, forward applications to department heads, send offer letters, and process hiring documents.
  • Prepare new hire files with initial employee documentation and selection papers.
  • Ensure all newly hired employees are properly processed (orientation, payroll, reference checks, offer letters, etc.).
  • Maintain a file of qualified candidates for future positions, including applicant records and TBNT letters.
  • Maintain the job posting system and turnover records.
  • Support the task force process (contact with the partner hotel, travel agency and employees).
  • Support the Learning process (e.g. materials).
  • Prepare POs on BirchStreet.
  • Responsible for the Employee of the Month and Manager of the Quarter nomination, vote and lunch.
