Education:

  • Recognized degree/diploma in Human Resources Management, Business Administration or related field required

Experience:

  • Minimum two (2) years’ experience in a People Services, talent or related administrative role required.
  • Previous direct experience in talent acquisition or coordination preferred
  • Proficiency in Microsoft office suit and experience with applicant tacking system (ATS) and/or HRIS platforms required
Responsibilities

General People Services Coordination

  • Provide coordination and support across the People Services portfolio.
  • Act as a central point of contact for team member inquiries and requests, providing timely support and connecting individuals to appropriate resources.
  • Assist in the communication, implementation and tracking of People programs, policies, and initiatives.
  • Collaborate with leaders and colleagues to support day-to-day operations and contribute to a positive workplace culture

Recruitment & Onboarding Coordination

  • Support the coordination of end to end recruitment activities including job postings, applicant tracking and interview logistics.
  • Partner with hiring managers to ensure recruitment activities reflect OSMH values, contributing to a high quality and inclusive candidate experience
  • Coordinate and support candidate communication and interview scheduling, ensuring timely updates and seamless process for all involved.
  • Serve as a central point of contact for all candidates and existing team members throughout the recruitment process, providing timely updates and guidance as needed for a smooth, efficient and transparent process.

Candidate Management

  • Coordinates candidate screening, pre-employment assessments, and reference checks, in collaboration with the People Services Business Partner, hiring manager and Occupational Health team.
  • Maintain accurate candidate databases and applicant tracking system (ATS), ensuring data integrity and compliance with privacy regulations.
  • Contribute to recruitment analytics and reposring by tracking data and identifying trends where appropriate.

Onboarding & Offboarding Support

  • Organize onboarding activities for new hires, ensuring a seamless and positive experience.
  • Coordinate onboarding activities, including preparing new hire paperwork, coordinating orientation sessions and ensuring a smooth transition for new employees.
  • Support offboarding processes, including the coordination of exit interviews, return of equipment and transition of access.

Team Member Engagement Programs

  • Assist in coordinating team member engagement programs and initiatives, such as recognition programs, wellness activities and team building events.
  • Collaborate with cross functional teams to organize events and activities that promote a sense of community and belonging among all team members.

Feedback and Surveys

  • Support the administration and distribution of team member surveys
  • Assist in compiling and summarizing data to support evidence-based decision making and continuous improvement.

Administration

  • Provide administrative support to the People portfolio, including preparing correspondence, data entry, file management and record keeping.
  • Assist with projects and contribute to the success of broader team initiatives.
  • Provide coverage and support for the People Services office, helping create a welcoming and responsive space.
  • Participates in projects, working groups, and initiatives that support OSMH People Strategy and broader organizational goals.
  • Performs other duties as may be assigned to support the effectiveness of the People portfolio.

Qualifications

Education:
