The Role The People Logistics Assistant plays a supportive role in ensuring a positive employee experience for the Rhythm team. Key areas of responsibility are the smooth operation and management of employee accommodation ensuring the comfort, safety, and well-being of employees residing in company-provided accommodations. Key Responsibilities and Duties Accommodation Assist in the daily management of Rhythm Japan People Operations and HR functions, including onboarding and offboarding employees, fostering a great employee experience, and supporting employee relations and development. Supervise and manage all aspects of staff accommodations, specifically tenant movements, communication, conflict management, and ensuring staff are happy and comfortable. Manage accommodation inductions and arrivals during the onboarding process. This includes guiding staff through the main areas of the accommodations, the self-inspection process, rubbish/gomi management and collection, and house rules. Conduct regular inspections of staff housing units to ensure compliance with established standards (well-maintained, clean, fully functional), identify any maintenance or safety issues, and communicate these with the Property Team. Assist the Property Team with managing inventory and distribution of accommodation supplies, such as furniture, appliances, bedding, and other essential items. Handle and resolve any complaints or issues raised by staff members regarding their accommodations, addressing concerns professionally and promptly, collaborating with HR and the Property Team when necessary. Conduct regular meetings or communications with accommodation staff/lodge managers to address any issues, provide necessary training, and foster a positive work environment. This role may require you to support the Property team and wider store team when needed. What You Need to Succeed Proven experience in a similar role, preferably in managing employee accommodations, hotels/hostels or residential properties. Strong organizational and multitasking skills, with the ability to prioritize tasks effectively. Excellent interpersonal and communication skills to interact with staff members, vendors, and other stakeholders. Ability to handle and resolve conflicts or issues diplomatically and professionally. Proficiency in using computer applications and software for record-keeping and communication purposes. Flexibility to work evenings, weekends, and holidays when necessary to address urgent matters or emergencies.
