JOB SUMMARY:

We are seeking a detail-oriented and highly organized Permitting and Scheduling Assistant to support our operations by coordinating permit applications, tracking approvals, managing project schedules, Training Matrix and General Admin. This role is critical in ensuring that all permitting requirements are met in a timely manner and that project timelines are accurately maintained to avoid delays.

REQUIREMENTS:

  • Previous experience in permitting, scheduling, project coordination, or administrative support is preferred.
  • Excellent organisational and time management skills.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office; experience with scheduling (Mayrise / Confirm) tools is a plus.
  • Ability to manage multiple tasks with accuracy and attention to detail.
  • Familiarity with local permitting processes and regulatory environments.
  • GCSE (or equivalent) grade 4 in Maths and English Language.

PREFERRED SKILLS:

  • Knowledge of construction or utility industry practices.
  • Experience working permitting systems.
  • Ability to communicate with appropriate teams both internally and externally.
  • Attention to detail and ability to react to daily changes.
  • Professional and courteous phone manner.
Responsibilities
  • Prepare, submit, and track permit applications with local councils.
  • Communicate with permitting authorities to obtain approvals, resolve issues, and ensure compliance with regulations.
  • Maintain an accurate and up-to-date permitting log.
  • Assist in scheduling project timelines, resources, and inspections to align with permit approvals.
  • Coordinate with internal departments and contractors to ensure project milestones are met.
  • Monitor project schedules and notify relevant teams of any potential delays or conflicts.
  • Assist in compiling reports and updates on permitting status and scheduling performance.
  • Maintain strong relationships with Local Authority clients, local transport network companies, and other stakeholders.
  • Ensure all documentation is filed in accordance with company standards and regulatory requirements.
