Description:

Provide executive administrative support to the Acting/Associate Director Home Claims and the broader Home Claims team, creating an open, accessible environment with efficient, proactive issue resolution & proactively establish and manage a smooth and efficient operating rhythm including meeting governance and diary management.

  • Minimum 3-5 years Administrative experience at a senior level.
  • Demonstrated ability to proactively establish priorities, anticipate needs and use sound judgement to manage complex, confidential and sensitive activities.
  • Resourceful and logical thinker with excellent attention to detail.
  • Analytical and presentation skills.
  • Proven organisational and time management skills.
  • Enthusiastic self-starter with excellent ability to multitask, prioritise and work under pressure.
  • Strong interpersonal and influencing skills with the ability to build and maintain relationships across all levels of the organisation.
  • Strong written and verbal communication skills.
  • Advanced skill level in Microsoft and Google applications and office management software (travel, expenses etc).
  • Ability to work autonomously and as part of the broader Executive Assistant
  • Prepare presentations, analysis, reports and papers on behalf of the A/Director at times managing complex, confidential and sensitive information ensuring all are submitted to required deadlines.
  • Ensure information is in place for all Home Claims Leadership meetings including a clear meeting purpose, agenda, pre-reads, reporting, action follow up and papers. Proactively advise stakeholders of changes to plans and/or delays.
  • Minute and distribute each of the six Home governance meetings and accurately record actions and decisions in the register. Follow up those with actions pending prior to each meeting.
  • Monitor actions that arise from IA EXCO and various committees including segment meetings. Provide action update templates to respective assignee and ensure completion and review by the A/Director to be submitted on time to the Company Secretary.
  • Coordinate agendas for Home Segment meetings with the Home Leadership team and assist where required with finalising papers and formatting for submission on time to the Company Secretary.
  • Support the Operational Performance and Strategy team once established and as required.
  • Manage the Home Assessor Fleet vehicles ensuring cars are allocated, drivers provide updates on personal use or odometer readings as required, servicing is performed on time and cars are returned on finalisation of employment.
  • Monitor General Manager emails using judgement to escalate urgent matters.
  • Assist the A/Director prioritising work activities using judgement to filter urgent and important activities including time for strategic thinking, reading and managing daily operations.
  • Work closely with the A/Director and HR Business partner to coordinate the delivery of IARC documentation and all UKG requirements/changes for the team.
  • Perform reasonable and relevant activities as requested to meet role accountabilities and/or operational requirements.
  • Plan, organise and run events (eg Leadership offsites, JAMs) within time limits, and budgets as required.
  • Book travel for the A/Director and team ensuring within budget and travel policy guidelines.
  • Assist the A/Director and Home Claims leadership in employee engagement, by analysing results and providing direction on key actions to promote a positive team culture.
  • Liaise with the Home Claims leadership and team assistant to ensure performance coaching, mandatory training, ESS compliance and engagement survey are completed by divisional employees within the required timeframes
