JOB SUMMARY:

We’re looking for a Personal Assistant, providing seamless administrative, travel, and personal assistance with the utmost discretion and efficiency. Organized and proactive professional with a knack for managing both business and personal tasks at the highest level. This is a high-trust role requiring strong communication, excellent judgment, and the ability to manage both professional and personal matters.

REQUIRED EDUCATION AND EXPERIENCE:

  • Minimum 5 years of Personal Assistant, Executive Assistant, or similar role supporting senior leadership or board-level executives.
  • Excellent organizational and time-management skills; ability to prioritize and multitask efficiently.
  • Strong communication skills – verbal and written – with the ability to interact confidently across all levels.
  • Demonstrated experience managing international travel logistics and visa processes.
  • High level of integrity, confidentiality, and discretion.
  • Tech-savvy with proficiency in MS Office and online tools.
  • Flexible with working hours, and available for urgent requirements or occasional travel.

Responsibilities
  • Provide comprehensive business, administrative and personal support.
  • Manage complex calendars, appointments, and multi-time-zone scheduling.
  • Plan and coordinate travel itineraries, including flights, ground transportation, and accommodation.
  • Handle visa applications, document preparation, consulate/embassy appointments, and follow-up for all international travel.
  • Create detailed travel itineraries, including backup plans and real-time support during travel.
  • Coordinate business meetings, or personal engagements during travel as needed.
  • Coordinate all gifting requirements – from sourcing to customization – for both corporate and personal occasions.
  • Maintain a gifting calendar and suggest thoughtful options in advance of key dates.
  • Manage email communications, calls, and follow-ups with professionalism and confidentiality.
  • Coordinated with property agents, landlords, and clients for real estate matters.
  • Maintained organized digital and physical filing systems for property and client records.
  • Ensured compliance with Dubai Land Department rules and regulations.
  • Liaise with internal teams and external stakeholders.
  • Organize personal, home/vendor coordination, and private event planning.
  • Assist with the preparation of reports, presentations, and meeting materials.
  • Maintain all the filing system and data up to date to ready reference.
  • Anticipate needs and adapt quickly to shifting priorities.
