Anderson Knight is delighted to be recruiting for a Personal Assistant for a Legal Firm in Edinburgh on a full time, permanent basis. This role is for someone who will provide high-quality PA, administrative, and secretarial support.

Responsibilities
  • Client and file setup – Open and close client files, check for any issues, and prepare paperwork.
  • Billing support – Help with monthly billing, reports, and checking invoices. Training will be given.
  • Document work – Create and edit documents, letters, and presentations using Microsoft Office and PDFs.
  • Diary and meetings – Manage calendars, book meeting rooms, arrange catering, and set up tech support.
  • Email support – Check and manage inboxes, especially when someone is away.
  • Meeting support – Set up meetings, take notes, and follow up on actions.
  • Invoice queries – Help sort out billing questions and process purchase orders.
  • Admin tasks – Do general admin work like filing, scanning, copying, and binding.
  • Client contact – Handle client calls and emails, or pass them to the right person.
  • Travel booking – Arrange travel, accommodation, and deal with expenses.
  • Database updates – Keep client and contact information up to date.
  • Ad hoc tasks – Help with team events, training, and other jobs when needed.
  • Document tracking – Save and name documents correctly using internal systems.
  • File storage – Organise and store files, including off-site archives.
  • Work with other teams – Communicate with departments like Finance, IT, and Marketing.
  • Team support – Help other PAs or offices when needed.
