PERSONAL ASSISTANT – MOBILITY & PRECINCTS (FIXED TERM – 12 MONTHS)

TE WHIWHINGA MAHI | THE OPPORTUNITY

We are currently seeking a Personal Assistant to join our Transport and Infrastructure team in Aotearoa on a fixed-term basis for 12 months to cover maternity leave. Our team of over 500 people works across roads, rail, airports, and land development market sectors and is well placed to help Aotearoa advance and protect our world for future generations. In this role, you will be the trusted support and advisor to a high-performing General Manager in a busy leadership team. This is a diverse role where no two days will be the same; the ability to think on your feet using your initiative in an environment that moves fast and changes often is key! We are looking for someone to join us who can:

  • Use your judgement to proactively optimise how our leaders spend their time, ensuring balance and focus on the most important goals
  • Be two steps ahead, operating in a 3-6 month planning timescale, proactively managing demanding diaries and schedules internally and externally
  • Liaise with senior-level internal and external contacts, screening and prioritising incoming communications, dealing with routine issues and coordinating more complex responses ensuring these are delivered in a timely and effective manner
  • Manage and organise events and meetings, including curating agendas, booking venues, travel, and accommodation
  • Build strong relationships across teams, the company, and with the outside world to help get things done easily and efficiently
  • Organise and prepare complex documents and presentations to a high standard using office technology and software applications
  • Collaborate with a strong support team of administrators and business support partners who come together as one team
