You will work closely with the business owner, serving as a reliable right-hand partner who can manage ongoing administrative tasks while supporting essential bookkeeping functions. This includes immediate catch-up bookkeeping needs and long-term support in maintaining organized financial records, strengthening client communication, and improving internal processes. Key Responsibilities Bookkeeping & Financial Support Perform accurate bank reconciliations and maintain organized QuickBooks entries. Update and track financial records with a strong focus on detail and accuracy. Assist with expense categorization and financial documentation as needed. Administrative & Operational Support Manage the executive calendar; schedule meetings and send timely reminders. Organize inbox communications and draft/respond to emails professionally. Conduct independent research and provide clear, actionable recommendations. Maintain detailed task tracking systems and ensure timely follow-up on all action items. Provide organized digital filing and document management. Handle professional client communications and ensure smooth relationship management. Coordinate travel arrangements, logistics, and related documentation. Take comprehensive meeting minutes with clearly outlined next steps. Support various administrative and operational projects that help the business scale. Requirements Requirements Proven experience in bookkeeping, particularly bank reconciliation and QuickBooks management. Strong administrative skills with the ability to juggle multiple priorities. High attention to detail and commitment to producing accurate, polished work. Confidence and clarity in written and verbal communication. Strong research skills and the ability to independently find and propose solutions. Tech-savvy, with the ability to learn new tools quickly and improve existing processes. Ability to work independently, stay organized, and take initiative without constant direction. Professional phone presence for client-facing conversations. Reliable internet connection and dedicated workspace for remote work. Flexibility to adapt to evolving needs and take on additional responsibilities as required.
