Responsibilities

THE ROLE

To provide PA support to both Chief People and Transformation Officer & Chief Strategy, Communications & Public Affairs Officer including diary management, admin support, replying to & sorting emails, arranging meeting agendas and presentations, booking travel for the management team, processing expenses and some general administration work.

Responsibilities:

  • Heavy diary management to ensure meetings and appointments are

scheduled according to priorities, effective use is made of time

available and information regarding their availability.

  • Act on their behalf as a representative on internal and external

matters of an administrative nature.

  • Organise meetings at senior level which may involve individuals

within or external to PRS.

  • Receive and assess all incoming communication, and as appropriate

respond directly on routine matters, direct elsewhere or put to the
ELT member, where necessary first obtaining supporting

information.

  • Support the formatting / completion of documents which may

include complex documents of a highly confidential nature.

  • Organise and distribute agendas and supporting materials for

meetings, taking and circulating minutes which may be of a highly

confidential nature.

  • Undertake a variety of specific projects/assignments involving

internal and external research and liaison, on behalf of the ELT

member as directed.

  • Admin support to Nomination papers, Remuneration papers, Board

and Members Council papers.

  • Attend and contribute to Senior HR & Transformation meetings,

including supporting some team engagement activities.

  • Book flights/rail rickets via company travel company, hotels etc.,

planning travel itineraries to make optimum use of the ELT

member’s time.

  • Processing of expenses

About you:

  • Good working knowledge of MS Office and software packages in use,

including MS Forms, SharePoint and OneDrive.

  • Be able to work under pressure and prioritise workloads including

being able to support two Senior Executives.

  • Sound understanding of responsibilities and priorities of their line

manager.

  • Sound judgement to keep confidential any personal / commercially

sensitive information that is acquired in performing duties.

  • Excellent interpersonal and communication skills.
  • Ability to work effectively under pressure and remain calm.
  • Independence, resilience, and ability to self-motivate.
  • Strong organisational skills.
  • Good attention to detail and excellent written English skills.
  • Previous experience of and ability to work in a high-volume role.
  • Ability to remain professional with handling sensitive data.
  • General awareness of the industry and affiliated societies (desirable).
