Description

An established company in the liquor industry is looking for a reliable and professional Personal Assistant to support the Operations Director at their Centurion, Head Office. This role is suited to someone who is well-organised, discreet, and able to manage a variety of administrative and support tasks with care and attention to detail.

QUALIFICATIONS AND EXPERIENCE

  • Matric (Grade 12)
  • Tertiary qualification (e.g. Diploma or Certificate in Office Administration, Business Administration, or Secretarial Studies) would be advantageous.
  • 3–5 years’ experience in a Personal Assistant, Executive Assistant, or similar administrative support role.
  • Strong administration, organisation and prioritization skills.
  • Proven ability to manage calendars, meetings, travel, and office systems.

Responsibilities
  • Ensure smooth daily office operations through effective coordination and support.
  • Maintain full functionality of all office systems and equipment.
  • Accurately manage the Director’s diary, meetings, and reminders.
  • Book travel (flights, hotels, transport) timeously with correct details and check-ins.
  • Draft and update written correspondence in priority order and within deadlines.
  • Handle or escalate all queries and requests within 24 hours.
  • Assist with the implementation of the Director’s marketing ideas.
  • Attend meetings with the Director and suppliers; note key actions.
  • Manage advertising briefs and media schedules to meet deadlines.
  • Coordinate with designers, printers, and distributors to ensure timely outputs.
  • Update supplier pricing cycles and consolidate monthly records.
  • Process regional leave requests and submit for approval within 2 days.
  • Place accurate job orders with suppliers.
  • Manage stationery orders to avoid shortages.
  • Issue PO numbers within 24 hours of request.
  • Reconcile supplier accounts monthly and arrange for payment.
