SKILLS & EXPERIENCE

  • Proficient IT user with a strong grasp of key systems (e.g., MS Office).
  • Excellent written and verbal communication skills.
  • Ability to build rapport and positively influence internal and external stakeholders.

  • A professional and disciplined approach to all tasks.
  • A creative problem-solver who listens actively.
  • Familiarity with Health & Safety at Work legislation.

Responsibilities
  • Be the first point of contact for incoming correspondence and calls — professional, polite, and efficient.
  • Draft, prepare and send a range of ad-hoc and templated letters to staff and clients.
  • Liaise confidently with staff, suppliers, clients and senior leaders.
  • Manage databases and filing systems with high levels of accuracy and confidentiality.
  • Develop and maintain smooth-running admin procedures and systems.
  • Prepare reports, presentations and correspondence with clarity and precision.
  • Book and manage travel, accommodation and transport arrangements.
  • Handle Directors’ expenses promptly and accurately.
  • Take charge of diaries, scheduling meetings and coordinating conference calls.
  • Organise and support events and conferences as required.
  • Maintain holiday and absence records.
  • Support a variety of projects, often with competing timelines.
  • Provide administrative support to the Security and Intelligence team.
  • Proactively manage the Director’s inbox and internal communications.
  • Provide seamless cover for the Executive Assistant during annual leave.
  • Deliver any other reasonable duties as requested by your line manager.
