JOB OVERVIEW

We are seeking a highly organized and proactive Personal Assistant to provide comprehensive support to our executive team. The ideal candidate will possess exceptional administrative skills and a strong ability to manage multiple tasks efficiently. This role requires a detail-oriented individual who can handle various responsibilities, including event planning, calendar management, and office management, while maintaining a high level of professionalism and confidentiality.

REQUIREMENTS

  • Proven experience as a Personal Assistant or in an administrative role with strong organizational skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications.
  • Familiarity with QuickBooks for bookkeeping purposes is preferred but not required.
  • Excellent digital correspondence skills with attention to detail.
  • Strong communication skills with a focus on phone etiquette and customer service.
  • Ability to manage multiple priorities effectively in a fast-paced environment with grace and poise.
  • Experience with project coordination and event planning is a plus.

  • Provide executive administrative support, including managing calendars and scheduling appointments using Google Calendar and Microsoft Outlook Calendar.
  • Coordinate events and meetings, ensuring all logistics are handled effectively.
  • Assist with project coordination, ensuring deadlines are met and tasks are completed efficiently.
  • Perform bookkeeping tasks, including data entry and maintaining accurate financial records using QuickBooks.
  • Manage office operations, including filing, clerical duties, and maintaining an organized workspace.
  • Handle phone etiquette with professionalism while managing multi-line phone systems.
  • Conduct proofreading and transcription of documents as needed to ensure accuracy.
  • Utilize Google Workspace and Microsoft Office applications for various administrative tasks.
  • Provide customer service support by addressing inquiries.
