What the day will look like Schedule, organize and coordinate internal & external meetings / conference calls and events Assist in all roadshow events including but not limited to coordination of the roadshow schedules and preparation of roadshow materials Assist in the coordination of administrative activities to manage visitors to the office including arranging visitor passes, visa letters, technology support and office space requirements Manage incoming and outgoing mail for the team Coordinate the printing of business cards for all team members Coordinate and liaise with reception and respective suppliers on the delivery and replenishment of office supplies and periodic servicing/maintenance of office equipment Manage procurement of stationery and IT requests Maintain and monitor department leave records and travel calendars including business travel, annual leave and urgent sick leave etc. Provide logistics and administrative support for the various meetings and presentations including confirming logistics (venue, attendee lists, equipment such as LCD, refreshments etc.) and coordination of the submission of presentation materials. Provide business travel logistic support to the team, including air tickets, hotel booking, visa application, training deck preparation and logistics support for overseas assignments. Strong proficiency in Microsoft 365 (Outlook, Teams, PowerPoint, Word, Excel). Excellent written and verbal English communication skills. Demonstrated ability to manage multiple priorities with accuracy and attention to detail.
