The Personal Assistant will provide high-level administrative, organizational, and personal support to ensure smooth daily operations. The ideal candidate will act as a point of contact, manage schedules, oversee tasks, and handle personal and professional duties with efficiency and discretion.
Key Responsibilities:
- Administrative Support
- Manage and maintain the principal’s calendar, including scheduling appointments, meetings, and events.
- Screen emails, calls, and messages, responding on behalf of the principal when appropriate.
- Prepare documents, reports, presentations, and meeting agendas.
- Personal Assistance
- Handle personal errands such as shopping, bill payments, and reservations.
- Coordinate medical, spa, or fitness appointments.
- Oversee household needs, including maintenance, staff supervision, and supplies.
- Travel Management
- Organize domestic and international travel plans, including flights, hotels, transportation, and itineraries.
- Ensure all necessary documents (e.g., visas, travel insurance) are prepared.
- Event Coordination
- Plan and execute private and professional events (dinners, parties, meetings).
- Liaise with venues, caterers, and vendors for seamless event execution.
- Financial Oversight
- Monitor expenses, create budgets, and handle reimbursements.
- Maintain records of receipts, invoices, and payments.
- Task Prioritization
- Create daily task lists and ensure completion of high-priority items.
- Proactively identify and resolve issues as they arise.
- Communication Management
- Act as the primary point of contact for internal and external communications.
- Relay messages and ensure prompt follow-ups.
- Research and Organization
- Conduct research on requested topics (e.g., products, destinations, services).
- Maintain organized files, both physical and digital.
- Confidentiality and Discretion
- Handle sensitive information with utmost professionalism.
