Description:

The Personal Assistant will provide high-level administrative, organizational, and personal support to ensure smooth daily operations. The ideal candidate will act as a point of contact, manage schedules, oversee tasks, and handle personal and professional duties with efficiency and discretion.
Key Responsibilities:

  1. Administrative Support
  • Manage and maintain the principal’s calendar, including scheduling appointments, meetings, and events.
  • Screen emails, calls, and messages, responding on behalf of the principal when appropriate.
  • Prepare documents, reports, presentations, and meeting agendas.
  1. Personal Assistance
  • Handle personal errands such as shopping, bill payments, and reservations.
  • Coordinate medical, spa, or fitness appointments.
  • Oversee household needs, including maintenance, staff supervision, and supplies.
  1. Travel Management
  • Organize domestic and international travel plans, including flights, hotels, transportation, and itineraries.
  • Ensure all necessary documents (e.g., visas, travel insurance) are prepared.
  1. Event Coordination
  • Plan and execute private and professional events (dinners, parties, meetings).
  • Liaise with venues, caterers, and vendors for seamless event execution.
  1. Financial Oversight
  • Monitor expenses, create budgets, and handle reimbursements.
  • Maintain records of receipts, invoices, and payments.
  1. Task Prioritization
  • Create daily task lists and ensure completion of high-priority items.
  • Proactively identify and resolve issues as they arise.
  1. Communication Management
  • Act as the primary point of contact for internal and external communications.
  • Relay messages and ensure prompt follow-ups.
  1. Research and Organization
  • Conduct research on requested topics (e.g., products, destinations, services).
  • Maintain organized files, both physical and digital.
  1. Confidentiality and Discretion
  • Handle sensitive information with utmost professionalism.
  • Maintain confidentiality in all personal and professional matters.

Skills and Qualifications:

Required Skills:

  • Exceptional organizational and time-management skills.
  • Strong written and verbal communication abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and other relevant software.
  • Ability to multitask and work under pressure.
  • Detail-oriented with a proactive approach to problem-solving.

Preferred Qualifications:

  • Previous experience as a Personal Assistant or Executive Assistant.
  • Familiarity with project management tools and scheduling apps.
  • Knowledge of local and international travel arrangements.
  • A valid driver’s license and willingness to travel when required.
