Responsibilities

ABOUT THE ROLE:

We are seeking a Personal Assistant to work closely with one of our senior Financial Advisers operating across Europe, with a focus on Portugal. This is a busy and varied role that requires excellent attention to detail, along with polished client service skills.
In addition to typical Personal Assistant responsibilities, this role will also provide active support for client events in Portugal. The successful candidate will have occasional travel to Portugal to support client seminars, events, and networking opportunities.
Ideally you will have an active interest in financial services as this position is heavily involved in an international organisation providing independent financial advice for expatriates and international workers globally.

KEY DUTIES:

PA & Administrative Support

  • Complex diary and inbox management for the Financial Adviser, coordinating across multiple time zones
  • Preparing client packs, reports, and presentations for review
  • Coordinating travel arrangements and handling incoming correspondence

Client & Business Support

  • Acting as a first point of contact for client queries, ensuring a professional and timely response
  • Maintaining and updating CRM records and back-office systems in line with compliance standards
  • Assisting with paraplanning and client relationship management where required

Event Support

  • Supporting the planning and delivery of client seminars, events, and webinars in Portugal
  • Liaising with venues, suppliers, and service providers to manage logistics
  • Attending events in Portugal to assist with hosting and client engagement
  • Ensuring effective follow-up including client enquiries, feedback collection, and potential lead generation
