REQUIREMENTS

  • Proven experience as a Personal Assistant or in an administrative role with strong organizational skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications.
  • Experience with QuickBooks for bookkeeping purposes is preferred but not mandatory.
  • Exceptional typing skills with attention to detail for accurate data entry and transcription tasks.
  • Strong calendar management abilities to efficiently schedule meetings and appointments.
  • Excellent communication skills with a focus on phone etiquette and customer service.
  • Ability to manage multiple tasks simultaneously while maintaining a high level of professionalism.

  • Manage executive calendars, including scheduling appointments and coordinating meetings using Microsoft Outlook Calendar and Google Workspace.
  • Provide administrative support through data entry, filing, and clerical tasks to ensure smooth office operations.
  • Assist in event planning by coordinating logistics, managing invitations, and ensuring all details are executed flawlessly.
  • Maintain accurate records through bookkeeping and QuickBooks for financial tracking and reporting.
  • Handle phone etiquette with professionalism while managing multi-line phone systems and responding to inquiries promptly.
  • Prepare documents by proofreading, transcribing notes, and ensuring all materials are accurate and well-organized.
  • Support project coordination by tracking deadlines, updating project statuses, and communicating with team members effectively.
  • Provide front desk support as needed, greeting visitors and managing incoming communications with excellent customer service skills.
