SUMMARY

This is not your average assistant role.
We’re looking for a resourceful, detail-obsessed, and street-smart Personal Assistant who can wear multiple hats - from arranging meetings and negotiating with vendors, to planning the director’s vacation calendar and reorganizing the office stationary budget.
You’ll work directly with a director of a group of companies, supporting day-to-day work tasks, high-priority projects, and unexpected fires. If you’re the type who thinks three steps ahead, never misses a comma, and thrives in chaos, this is the role for you.

QUALIFICATIONS

  • 2–5 years of relevant experience in a multi-functional support or EA/PA role
  • Excellent written and spoken English
  • Strong research, communication, and negotiation skills
  • Proficient with Google Sheets, Docs, Gmail, and general tech tools
  • Self-driven with a proactive, problem-solving mindset
  • Highly organized and able to manage multiple tasks without dropping the ball
  • Strong attention to detail, accuracy, and confidentiality
  • Good judgment and initiative in ambiguous situations
  • Bonus: Experience handling UAE government and compliance paperwork

Responsibilities

KEY RESPONSIBILITIES

  • Lead a wide-range of operational one-off projects end-to-end (e.g., soundproofing vendor sourcing, negotiations with contractors for renovations)
  • Draft responses and coordinate follow-ups; eventually support with inbox and communication
  • Handle personal and business logistics (visas, appointments, bank tasks, etc.)
  • Submit compliance paperwork and government documents with accuracy and timeliness
  • Track and analyze petty cash, kitchen, and stationery budgets; suggest improvements
  • Assist in planning the Director’s daily, weekly and monthly priorities
  • Arrange high-value meetings, chase vendors, and drive follow-through
  • Scope and manage design and office improvement projects within set budgets
  • Provide trusted support on personal tasks like research or scheduling for family needs
  • Confidently handle cold outreach, follow-ups, and calls to external stakeholders
  • Provide temporary support in coordination roles or reception during staff absences
