INTRODUCTION
We are seeking fun, upbeat, positive thinking, and highly qualified candidates for the role of Executive Personal Assistant to support our CEO, who runs a technology and educational training company. This position requires a multifaceted individual, requiring a blend of administrative, communication, analytical, and technical skills. Given the fast-paced nature of the business, the assistant must be able to manage the CEO’s time, schedule, emails, create effective collateral material, oversee specific analytics within three divisions of the company and provide detailed reports to the CEO. The candidates must possess self-confidence and a robust set of skills to handle the diverse responsibilities as outlined:
- Organizational and Time Management Skills: The assistant must coordinate the CEO’s schedule, coordinate meetings, and handle multiple tasks efficiently. This includes proficiency with calendar management tools like Google Calendar, Microsoft Outlook, Teams, Monday CRM and custom company site which is a platform and Learning Management System (LMS) created by the company. Effective time management ensures deadlines are met, especially in a tech-driven environment where priorities can shift rapidly.
- Communication Skills: Excellent written and verbal communication is crucial for handling emails, drafting correspondence, and representing the CEO professionally. The assistant must communicate clearly with stakeholders, including clients, staff, and external partners, while maintaining discretion. This includes crafting clear emails and representing the CEO’s voice authentically while fostering trust and collaboration.
- Business Acumen and Technical Proficiency: Because our company is creating disruptive products, a high business acumen is highly valued. Also, given the technology focus of the company, the assistant must be proficient with office software (e.g. Microsoft Office, Google Workspace) as described above. Additionally, familiarity with AI-driven tools is essential in 2025, such as writing assistants (e.g., Grok and other related tools as assigned). The ability to quickly learn new technologies is critical and training will be essential to understand the requirements as set forth.
- Creative Support: Building collateral materials requires creativity and an understanding of marketing principles. The assistant should be familiar with design tools like Canva or Adobe Creative Suite and Proposify, and capable of collaborating with designers, to create materials that align with the company’s branding. This skill is particularly important for a company in educational training, where sales and marketing materials may need to highlight training programs or tech solutions.
- Analytical and Reporting Skills: Monitoring specific divisions involves some oversight and observation of operations, analyzing data, and synthesizing findings into clear, actionable reports. Reporting findings requires the ability to identify trends or issues on strategic criteria is part of this role, ensuring the CEO receives concise, actionable insights.
- Problem-Solving, Adaptability and Critical Thinking: A proactive mindset is essential to anticipate the CEO’s needs and solve problems before they escalate. This includes handling unexpected changes, such as last-minute schedule adjustments or urgent tasks. Adaptability is crucial in a dynamic tech and education environment. Critical thinking allows the assistant to anticipate challenges and opportunities, developing strategic plans and contingencies to navigate potential issues and help achieve business goals within ethical and legal boundaries.
- Interpersonal and Interaction Skills: The assistant must build and maintain professional relationships with team members, clients, and external stakeholders. This involves being approachable and collaborative while maintaining professionalism. Strong interpersonal and interaction skills facilitate effective communication across all levels by maintaining a calm and composed demeanor under pressure, diffusing tension and resolving conflicts proactively and professionally.

BACKGROUND AND EXPERIENCE
- Education: A bachelor’s degree in business, communication, or a related field is preferred, though not mandatory if the candidate has relevant experience. Certifications in executive assistance, project management, or specific software tools (e.g., Microsoft Office Specialist) is preferred. Relative continuous learning, such as workshops or seminars is also preferred.
- Experience: Previous experience as an executive assistant, especially in a tech or education company, is ideal. Experience in a high-paced, dynamic environment where multitasking and adaptability are required is crucial. Familiarity with sales or marketing support roles can be helpful for building sales materials.
- Industry Knowledge: While not mandatory, understanding technological trends and educational training methodologies is beneficial. This includes knowledge of tech tools, AI applications, and training program development for effectiveness in monitoring divisions and creating sales materials.
- Technical Familiarity: The assistant should be familiar with the latest tools for executive assistants, particularly AI-driven solutions.
