Please visit our website for more information – https://www.mufgemea.com/mbe Your impact at MUFG The Personal Assistant (PA) to the MB will be responsible for giving full administrative and secretarial support to the Management Board, under appropriate direction, in accordance with agreed standards and in adherence with all relevant internal and external regulatory/statutory requirements for MBE. In addition, the PA will provide dedicated support to the Management Board in delivering clear, engaging, and timely internal communications. Assist in planning and executing townhalls and leadership updates to strengthen employee engagement and alignment with strategic priorities. The focus of the role is to provide support to the Chief Financial Officer (CFO) and the Chief Operating Officer (COO). The PA, will have a functional reporting line to the relevant members of the Management Board and a direct reporting line to the MD, Head of Business Management and Transformation EU. Function positioning The main role of CEO Office is to support the Head of the EU, in all aspects of his/her responsibilities for the management, operation and development of the business for the EU, provide support to the MBE Management Board and EU Management and to lead strategic transformation for MBE and MUS(EU), delivering strategic transformation plans and managing key change projects across the EU focusing on regulatory and operational change. The role includes the following: Secretarial tasks for the MB members, such as: Business travel arrangements (outgoing/ incoming), manage diaries, arranging and prioritizing appointments and organizing meetings, conference rooms, etc.; Cooperate with the other Personal Assistants to manage the schedule of the MB members and support each other when necessary; Identify, review and where appropriate implement improvements to processes/procedures/systems related to the role; When required, support, plan, communicate and implement both globally and locally driven changes ensuring such changes are implemented with the minimum of disruption to services; Provide a wide range of information, guidance and advice to management and stakeholders, resolving customer queries, ensuring that the recipient clearly understands the nature of the information being provided; Perform and control allocated administrative tasks, plan and organize workflow and resources so that the daily workload is completed to the required standard. Draft, edit, and distribute internal communications on behalf of the Management Board (emails, intranet posts, presentations), in close coordination with the Internal Communications function Coordinate logistics and content for townhalls, leadership briefings, and other internal events. Prepare talking points, Q&A documents, and visual materials for senior leaders. Manage feedback channels and collate employee questions for leadership sessions. Maintain internal communication calendars and ensure timely delivery of key messages. In order to be successful in the role, you will need the following: Education: The function requires an intellectual and working background at HBO level (professional economic/administrative education). Skills and experience: The function requires experience in a similar function or relevant area. Good understanding of MUFG’s overall strategy and goals, structures, policies and culture together with a detailed knowledge and understanding of the MBE’s policies, rules, guidelines, and practices. Excellent written and verbal communication skills with ability to adapt tone for senior leadership, combined with strong organizational and event coordination skills. The role also requires experience with automated database storage and processing systems, as well as strong desktop IT skills.
