Description

Job Purpose: To save the Managing Director (MD) time by ensuring he has the right things at the right time, and to perform ad-hoc tasks as required.

PRINCIPLE ACCOUNTABILITIES:

  • To maintain company and personal information in a confidential manner
  • Maintain Managing Director’s diary & set up meetings etc
  • Manage the payroll system & employee benefits
  • Employees contracts, letters etc.
  • Prepare Quarterly VAT figures.
  • Create monthly briefing in Powerpoint
  • Work closely with the Accounts Assistant to manage on-line payments
  • Managing Director’s monthly admin inc credit card bills & expenses
  • Organise quarterly Management meetings (inc. taking minutes)
  • Prepare paperwork for Board meetings
  • Update company forms e.g. expenses form (spreadsheet) to ensure that it has the up-to-date HMRC mileage rates
  • Set up PCs and phones for new employees
  • Manage company IT issues through 3rd party subcontractors
  • Manage confidential paperwork applicable to shareholders and Directors
  • Run multiple “Projects” as required from time to time

QUALIFICATIONS:

Minimum 5 x GCSEs, grades A-C, (or international equivalent qualifications)

EXPERIENCE: MINIMUM REQUIREMENT:

  • Administrative skills
  • Working with confidential information
  • MS office to intermediate level
  • Organising & planning other people’s workloads

EXPERIENCE: DESIRABLE REQUIREMENT:

  • Ability to learn new software packages
  • Above average understanding of IT
  • Assisting with legal tasks
  • Assisting with financial tasks
  • Managing multiple projects
  • Managing payroll
    Job Type: Full-time
    Pay: £33,000.00-£38,000.00 per year
