Job Summary The Philanthropy Administrator is responsible for managing day-to-day donor care and the donor database for the organization. Reporting to Provincial Philanthropy Manager the role includes managing all gift processing and reconciling, donor stewardship and recognition. Other responsibilities will include ensuring a healthy donor database through maintenance, training and onboarding of other database users. Alongside managing the donor database, the role will support the fundraising team by providing regular fundraising reports, supporting the team on fundraising events and coordinating volunteers. Integrity, attention to detail and strong interpersonal skills are crucial for this role. Responsibilities * Processing and receipting all gifts donated to Hope’s Home including cash, shares, stocks, multi-year pledges, one-time and monthly donations. * Maintain donor database system, entering new donor information and performing audits of the database to ensure accurate information. * Recommend actions to improve and optimize the donor database system and fundraising processes; keep up to date on new system enhancements, troubleshoot issues and coach others on the proper use of the system. * Follow Hope’s Home donor recognition guidelines and ensure timely, accurate and consistent recognition for donors and sponsors. * Maintain a current knowledge of CRA regulations and support policy development for the recording and receipting of gifts, donor confidentiality and privacy. * Assist fundraising team in creating, documenting and implementing manuals, policies and processes for accepting planned gifts such as bequests, estates, life insurance, tribute and memorial gifts. * Reconcile donations against accounting records on a weekly and monthly basis. * Generate database reports as required by management. * Monitor fundraising inbox, respond to inquiries and sort and file as needed. * Act as first point of contact for external inquiries. * Assist auditors with the annual audit as related to fundraising and donations. * Support team on fundraising events throughout the province. * Maintain Hope’s Home merchandise inventory and coordinate internal fundraising activities. * Track staff anniversaries and acknowledge 5, 10, 15, 20-year employees. * Assist in the development of volunteer programs and committees. * Monitor Hope’s Home locations and coordinate volunteers for activities as needed. * Support the Provincial Philanthropy Manager with any special (ad hoc) projects for which they need assistance. * All other duties as needed and directed by the Provincial Philanthropy Manager. Qualifications * 1-2 years of experience in gift processing and data entry in fundraising software preferred. * Postsecondary certificate or diploma in business or office administration. * Knowledge and understanding of non-profit business model. * Non-profit certificates or education considered an asset. * Valid drivers’ license. * Combination of work experience and education will be accepted. Skills and Abilities * Excellent analytical and problem-solving skills. * Good financial and business awareness. * Knowledge of CRA gifting policy and donor confidentiality and privacy. * Experience working in donor database systems. * Meticulous records maintenance skills. * Strong written and verbal skills to communicate with all levels of the organization and its executive team. * Strong interpersonal skills. Able to establish effective relationships with team members and externally to donors and supporters. * Strong organizational and time management skills. * Proficient in word-processing, spreadsheet, and database packages (i.e. MS Word, Outlook, Excel, and PowerPoint). Work Conditions * Manual dexterity required to use desktop computer and peripherals. * Work hours – Monday to Friday, typical business hours with some flexibility. * Eight hours a day – 40 hours a week. * Occasional overnight travel in the province is required. * Long periods of time sitting. * Extra hours in addition to the standard workday may be required at times. * Attend and volunteer at fundraising events. Monday to Friday, 8am to 5pm with some weekend work.
