Description DESCRIPTION OF POSITION: The Philanthropy & Special Events Manager coordinates and implements targeted, multifaceted fundraising events and activities to generate project and operating funds, and manages donor and board related administrative tasks. This includes donor, board, and vendor communications, donor database (Raiser’s Edge) management, event planning, and handling of financial records. The position is also responsible for preparing reports, organizing board and committee meetings, and providing robust support for the development team to ensure achievement of fundraising goals. ESSENTIAL DUTIES AND RESPONSIBILITIES INCLUDE THE FOLLOWING: · Manage donor database, maintain key records, and produce necessary reports and acknowledgement letters · Process and record incoming donations and reconcile records with the Finance Department · Prepare reports and presentations for the board of directors and volunteer committees · Organize board meetings, including creating electronic and hard copy packets, attending meetings, taking minutes, and tracking board activities · Coordinate and execute fundraising events · Work with Graphic Designer/Marketing Director on event & fundraising activity communications · Assist the Fund Development Department in meeting the agency’s fundraising goals via administrative support and donor/sponsor/corporate partner solicitations as needed · Publish recurring fundraising reports · Process acknowledgement letters/birthday cards/anniversary cards on behalf of the CEO and/or Director of Philanthropy · Answer donor inquiries regarding tax deductibility and matching funds (either a community campaign match or through an employer) · Provide statements to donors periodically or upon request · Assist with producing and mailing annual tax receipts · Maintain professional, positive interactions with staff, board members, donors, volunteers, and external stakeholders · Formulate and communicate ideas clearly to assist workflow throughout the organization · Handle other duties as needed, such as catering orders and other meeting preparations · Occasional travel required throughout southern California, including attendance at various events to cultivate donors, partners, and sponsors · Available for evening and weekend work as needed JUDGMENT/DECISION-MAKING: · Duties performed under general supervision, following established guidelines · Makes day-to-day decisions within the scope of work · Refers complex issues to supervisors · Prioritizes tasks in the absence of specific instructions · Adapts to changing circumstances and maintains confidentiality in handling sensitive information RESPONSIBILITY OVERSIGHT – FINANCIAL & SUPERVISORY: · May supervise the work of volunteers and interns · Responsible for processing donations, managing donor financial information, and assisting in financial reconciliation · May purchase equipment and supplies in consultation with supervisor PHYSICAL DEMANDS: · Frequent sitting, standing, walking, and using hands to handle objects, tools, or controls · Occasionally required to life and/or move up to 10 pounds · Frequent computer work required · Regular travel may be required · Specific vision abilities include close vision, distance vision, peripheral vision, depth perception, and focus adjustment WORK ENVIRONMENT: · Moderate noise levels and/or occasional exposure to outside weather conditions · Reasonable accommodations may be made for individuals with disabilities to perform essential functions DISCLAIMER: This job description outlines the general nature and level of work expected of employees. Requirements QUALIFICATIONS/REQUIREMENTS: · BA/BS required · 5+ years’ experience in administration/database coordination; nonprofit fund development · 5+ years’ experience in event planning preferred · Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, etc.) and Outlook · Strong team player with excellent verbal and written communication skills · Warm, professional demeanor with the ability to work with donors, board members, executive staff, vendors, and other stakeholders · Proven database management experience, preferably with Blackbaud Raiser’s Edge · Highly organized, detail-oriented, and capable of managing multiple projects simultaneously · Must possess a valid California Driver’s License and a good driving record · Must pass Fingerprint and Child Abuse Index clearances from the Department of Justice · Must meet all requirements set by Community Care Licensing for hiring employees in licensed community care facilities · Must have working vehicle and ability to drive as needed EMPLOYEE STATUS: Exempt (salaried) LOCATION: Onsite for the first 90 days, then hybrid/remote with schedule to be mutually agreed upon with supervisor SALARY: $70,304 SUPERVISOR: Director of Philanthropy
