Job Summary We are seeking a highly organized and detail-oriented Fleet Administration Specialist to support the day-to-day administration and coordination of our vehicle fleet operations. The successful candidate will ensure efficient fleet documentation, vehicle compliance, cost control, vendor coordination, and administrative support to maintain smooth fleet performance. Key Responsibilities Maintain accurate fleet records, including registrations, insurance, inspections, leasing contracts, and maintenance schedules Coordinate vehicle servicing, repairs, inspections, and preventive maintenance with external vendors and internal stakeholders Monitor fleet-related expenses and assist with budget tracking and reporting Support fuel card management, toll systems, and vehicle allocation processes Ensure compliance with company policies, safety regulations, and legal requirements related to fleet operations Process invoices, purchase orders, and fleet-related documentation Track vehicle utilization, mileage, downtime, and operational performance Assist with onboarding and offboarding of company vehicles for employees Liaise with insurance providers, workshops, and suppliers Prepare regular fleet reports and administrative summaries for management Support incident, accident, and claims administration processes Requirements Previous experience in fleet administration, logistics administration, transport coordination, or a similar administrative role Strong organizational and multitasking skills Excellent attention to detail and accuracy Good communication and coordination abilities Proficiency in Microsoft Office, particularly Excel Experience with fleet management systems is an advantage Ability to work independently and manage priorities effectively Knowledge of vehicle compliance and fleet documentation processes is preferred Fluent English (additional languages are a plus) We Offer: Competitive remuneration based on performance and experience.
