About the Job: The purpose of this role is to support the account achieve its objectives by attracting and engaging people to apply in the organization. This person will build positive impression of the recruitment process and will be responsible to recruit the right people who will fit into the culture and goals of the company. What You'll Do: 1. Staff Management: Assign and adjust work assignments for staff. Monitor staff hours of work to ensure efficient coverage. 2. Patient Interaction and Scheduling: Work directly with patients to schedule appointments and therapy sessions. Address patient concerns and answer questions about their service/care plan. Ensure all necessary paperwork is completed accurately and in a timely manner. 3. Care Coordination: Facilitate communication and coordination of care between patients and care providers. Ensure seamless delivery of appropriate treatment for patients. 4. Service Evaluation: Evaluate the necessity, efficiency, and appropriateness of services provided to patients on a case-by-case basis. Continuously assess and optimize care plans to meet patient needs effectively. 5. Case Management: Follow up on 'About to Begin' cases. Activate new cases and ensure timely initiation. Assist new Behavior Therapists (BTs) in completing session notes using Artemis. Monitor and ensure completion of sessions for cases initiated the previous week. Follow up on Board Certified Behavior Analyst (BCBA) feedback responses. Monitor 'In Services' cases. 6. Communication and Coordination: Send emails to active BTs during payroll week for necessary documentation. Coordinate re-staffing tasks for effective case management. Communicate with HR for uploading documents of new BTs. Terminate BTs when required and handle related processes. 7. Client Management: Update trackers to maintain accurate records. Place all clients under Placement BT North for efficient management. Send mass emails to parents for check-ins on in-service cases. Monitor and manage cases receiving parent training services. 8. Email Correspondence: Send emails to Clients for placement updates and feedback. Send BCBA with feedback on BTs for cases that have started. Reach out to clients waiting for a BT and inquire about case progress. Email clients interested in parent training and facilitated the process. 9. Training and Development: Follow up on RBT training and ensure compliance. Provide necessary support for BCABA parent training services. Monitor cases without 'In-Services' labels and take appropriate actions. 10. Administrative Tasks: Follow up on hold cases and discharge letter requirements. Undertake administrative tasks such as updating trackers and ensuring completeness of session notes. 11. Conduct weekly meetings with the clinical director to review placement hiring statistics and address any issues or challenges that may arise. 12. Perform audits for paycodes to ensure accuracy and compliance with company policies and procedures. 13. Oversee the placement process, including confirming and verifying end-of-week statistics to ensure data integrity and accuracy. 14. Provide assistance to staff and candidates with placement-related issues, offering guidance and support as needed. 15. Generate and run onboarding reports to track the progress of new hires and ensure a smooth transition into their roles. 16. Conduct weekly audits for Behavior Technician (BT) cancellations and prepare cancellation reports for review and analysis. 17. Generate Deactivation Reports for BTs who have not been billed for two consecutive weeks, ensuring timely identification and resolution of inactive BTs. What You'll Bring: Bachelor’s degree in HR, business, psychology, or another related field. At least one year of related professional experience, experience in a medical setting is a plus but not required. – PREFERRED Strong communication skills, Fluent in English Effective interpersonal skills Excellent phone skills and skilled at fast-paced follow up The ability to work within a team and to coordinate team activities.
