Job Purpose / Mục tiêu vị trí The Planning & Portfolio Management Manager supports the Senior Manager by coordinating portfolio planning, execution monitoring, reporting, and process governance. The role ensures initiatives are aligned with organizational objectives, supports operational effectiveness, and provides data‑driven insights for leadership decision‑making. This position focuses on managing processes, reporting, and portfolio coordination rather than enterprise‑level strategy leadership. Job Responsibilities / Phạm vi công việc 1. Operational Planning Support development of annual portfolio plans aligned with organizational goals. Coordinate the collection and consolidation of business cases, roadmaps, and prioritization inputs. Assist in maintaining updated planning artifacts, ensuring accuracy and timely refresh. 2. Operations & Technology Performance Reporting Prepare monthly and quarterly Operations / Technology performance reports for leadership review. Consolidate KPI data, track trends, variances, risks, and issues across portfolio and operations. Conduct structured analysis to explain performance movements and highlight areas requiring attention. Translate data into clear, factual insights and observations to support leadership discussions and decisions. Support the Senior Manager in maintaining consistency, accuracy, and completeness of reporting materials. 3. Portfolio Management Manage day‑to‑day coordination of the CTOO project and program portfolio. Monitor progress against scope, budget, milestones, and risk indicators. Support governance forums (PMO meetings, SteerCo preparation, follow‑up). Assist senior manager with resource planning (FTE/capex) and maintain portfolio dashboards. 4. Business Analysis, Insights & Strategic Initiative Development Perform data‑driven deep‑dive analysis across operational, financial, and technology datasets to identify performance gaps, inefficiencies, trends, and improvement opportunities. Gather, validate, and analyze business requirements through structured interviews, workshops, and data interrogation to gain a clear understanding of underlying business needs. Translate analytical findings into clear, actionable recommendations that align with organizational objectives and CTOO strategic direction. Support Senior Manager to develop proposed initiatives—including scope, expected impact, resourcing assumptions, financial implications, and success metrics—for integration into the annual and multi‑year business plan. Collaborate with Portfolio, Finance, and Strategy teams to ensure initiatives are objective, feasible, and aligned across functions. Facilitate the transfer of approved initiatives to relevant business owners, ensuring clarity of requirements, delivery expectations, and measurable outcomes. Track progress and effectiveness of implemented initiatives, providing follow‑up analysis and improvement suggestions where necessary. 5. People & Stakeholder Collaboration Provide guidance to junior analysts or coordinators when required. Promote a collaborative working environment across functions and markets. Build strong relationships with project managers, functional leads, and operational teams. 6. Additional Responsibilities Undertake assigned tasks from line manager relating to portfolio, reporting, or process improvement. Demonstrate flexibility and proactive engagement in evolving business needs. Job Accountability / Trách nhiệm chính Support to ensure timely, accurate delivery of portfolio reports and updates. Maintain clear and organized portfolio documentation and dashboards. Support to identify and escalate risks, issues, or dependency conflicts early. Support to ensure governance forums receive complete and high‑quality materials. Support operational readiness by coordinating documentation and process updates. Performance measures/Kết Quả Công Việc Accuracy and timeliness of portfolio reports and updates. Quality of documentation (low number of reworks). Percentage of action items closed on time. Early identification of risks and dependencies. Compliance with process governance standards and audit requirements. Feedback from stakeholders and leadership teams. Job Requirements / Yêu cầu Qualifications & Experience Bachelor’s degree in Business Administration, Technology, Operations, or related field. At least 4 years of experience in project/portfolio management, PMO, or operations management. Experience working in matrix environments with cross‑functional teams. Familiarity with project management methodologies (PMO, Agile, Waterfall). Strong analytical and reporting capabilities.
