Practice Administrator – Cool Springs Plastic Surgery
Location: Full-Time, In-Office (Franklin, Brentwood, Mt. Juliet & Nashville)

Position Summary
We are seeking a confident, strategic, and service-driven Practice Administrator to oversee daily operations across our four locations. This high-level leadership role is responsible for human resources, payroll, team performance, financial oversight, and practice development, while serving as the key liaison between staff and ownership.

Key Responsibilities
Operations & Oversight
* Ensure smooth daily operations across all four CSPS locations, supporting teams with the tools/processes to succeed.
* Anticipate and proactively address operational challenges, staffing issues, or workflow gaps.
* Uphold a clean, luxury aesthetic and functional excellence in all physical locations.
* Manage daily cash flow and end-of-day reconciliation processes.
Human Resources & Team Leadership
* Oversee employee onboarding, reviews, and coaching in collaboration with department managers.
* Ensure compliance with employment law, OSHA, HIPAA, and internal HR policies.
* Lead monthly team meetings and serve as the go-to support person for all staff concerns.
* Work with legal counsel to update employee handbooks, policies, and provider contracts.
Financial Reporting & Payroll
* Process bi-weekly payroll for Cool Springs Plastic Surgery and The Plastic Surgery Center of Brentwood.
* Monitor weekly/monthly revenue goals and daily reconciliation.
* Collaborate with accountants for accurate financial reporting.
* Evaluate areas of opportunity and track progress toward revenue and growth benchmarks. Lovingly motivate using KPIs and strive for alignment
Scheduling & Coverage
* Coordinate provider and administrative team schedules with team leads.
* Step in to assist front desk or scheduling coverage during absences when needed.
Technology & Vendor Management
* Serve as first point of contact for technical support; escalate issues to IT partners as needed.
* Manage third-party contracts and vendor relationships for optimal pricing, performance, and resource use.
* Maintain relationships with industry reps to ensure competitive product costs and rewards program use.
Training & Practice Development
* Facilitate ongoing training to uphold exceptional customer service standards.
* Stay ahead of trends in the aesthetic industry and identify new opportunities for the practice.
* Lead special projects related to clinic expansion, efficiency, or new initiatives.
* Create realistic yet aggressive growth plans and implement systems to meet them.
Leadership Communication
* Communicate clearly and consistently with team members, department leads, and ownership.
* Collaborate with the Marketing Director, Non-Surgical Manager, and surgical leadership to align goals and messaging across departments.

Qualifications
* Bachelor’s degree in Business or Healthcare Administration required (MBA preferred).
* 5+ years of multi-site management experience in medical field (Plastic Surgery/Aesthetics industry preferred).
* Expertise in payroll, HR compliance, scheduling, and team development.
* Strong analytical and strategic thinking skills.
Job Type: Full-time
Pay: $75,000.00 - $150,000.00 per year
