Job description, responsibilities and duties We are seeking a motivated and detail-oriented PMO Analyst to join our team. In this role, you will be responsible for managing resource allocation within Dynamics 365, ensuring efficient scheduling of project team resources for sales opportunities and ongoing projects. You will play a key role in optimizing resource availability, maintaining skills profiles, and supporting the Technical Organization through operational and administrative tasks. Key Responsibilities: Dynamics 365 Resource Allocation: Schedule project team resources for sales opportunities and projects using the Dynamics 365 system. Update the resource calendar daily, coordinating with Sales Operations to track resource availability and project demands. Monitor the sales pipeline to ensure sufficient resources are allocated to new projects while minimizing slack in resource availability. Maintain Resource Profiles: Regularly update and maintain resource profile skills in Dynamics CRM, ensuring accurate information for effective resource assignment. Dashboard Reporting: Develop and manage dashboards in MS Dynamics/Power BI, providing data insights for the Management Team and PMO & Technical Team members. Gather data from resource profiles and calendars to create comprehensive reports. Operational and Administrative Support: Assist in managing Training & Development programs, ensuring the technical team’s skills are up-to-date. Support onboarding activities for new project team members, including event management and monthly meetings. Main Activities: Resource Scheduling and Allocation: Manage the Resource calendar in Dynamics 365, ensuring resource availability aligns with sales opportunities and active projects. Identify and address resource shortfalls in collaboration with the Sales Operations Manager. Maintain detailed skills matrices for all technical staff, identifying development needs and trends. Ownership of Staff Allocation Process: Set expectations and timelines for resource requests, ensuring timely fulfillment of staffing needs. Collaborate with staff managers when additional resources are required. Reporting Data Collection: Compile and analyze data on resource usage to create forecasts and management reports for resource availability over the next 6 months. Develop regular resource forecasts based on demand and existing utilization. Production of Management Reports: Create and present resourcing reports and dashboards, providing insights into staff utilization and performance. Presales Resource Assignment: Schedule resource requests created by Sales Managers, ensuring alignment with required skills and availability. Training & Development: Maintain a development plan for each technical team member, ensuring alignment with vendor accreditations and ongoing training needs. Organize knowledge-sharing sessions and monthly team meetings. Project Team Support: Assist the technical team with organizing meetings and training sessions. Manage onboarding activities for new project team members and ensure adherence to processes. Serve as a liaison for IT helpdesk and Dynamics support for any issues that arise.
