Responsibilities

ROLE RESPONSIBILITY

So, what will you be doing? This role has a broad and varied remit and the successful candidate will have responsibility for duties including:

  • Ensure deliverables are tracked and managed through the project lifecycle and that they are appropriately authorised
  • Monitor completion of meeting actions and ownership through to completion
  • Liaising with internal colleagues and external suppliers during meetings and follow ups
  • Support coordination of Programme testing and training plan
  • Active diary management, across time zones, of the Programme team ensuring the highest levels of accuracy, presentation and confidentiality at all times
  • Assist in the co-ordination of the SharePoint site used by the Programme
  • Support Communication management from the Programme
  • Work with the Communications Specialist and Marketing team to ensure effective production and distribution of internal communication material.
  • Support in the delivery of project communications campaigns.
  • Coordinate project workshops, focus groups and events which build awareness across the sites.
  • Seek out news and content from the wider project team and draft engaging posts for the intranet, working with the Internal Comms Specialist to drive traffic to the site.
  • Plan and prioritise a demanding schedule and gather materials to support all appointments including PowerPoint, outlook, word and excel and other documents
  • Ability to multi-task and flexibility to re-prioritize in a changing and fast paced environment
  • Arrange travel requirements for programme team/site visits with travel reservation and itineraries
  • Organise workshops, meetings, site visits, room bookings and refreshments (including across sites)
  • Assist with event planning
  • Support group travel to minimise cost and travel time across the Programme team.
