Description
We are looking for a part-time Virtual Assistant to manage and operate our Podcast Method Growth System, one of our most powerful client acquisition channels. This is not a simple scheduling role — you will be responsible for coordinating and running the podcast-to-sales funnel: from guest outreach and management to publishing, content delivery, and CRM tracking. You will be the point person ensuring every piece of the system runs smoothly — outreach, guest prep, recording follow-through, publishing coordination, reporting, and guest relationship follow-up. In short: you will take an idea (a podcast guest) and carry it all the way through to a polished podcast episode, a nurtured relationship, and a sales opportunity. Key Responsibilities Guest Outreach & Relationship Flow Research and source potential podcast guests who align with our target audience. Send and manage outreach campaigns, schedule recordings, and coordinate communications. Maintain guest experience from start to finish: prep materials, reminders, and thank-you follow-ups. Support warm lead handoffs to the sales team when guests become prospects. Content Production & Delivery (No Editing) Manage publishing and distribution of completed podcast episodes across platforms (YouTube, Spotify, Apple, etc.). Coordinate with the editing team to ensure timely delivery of assets. Deliver final episode packages to both guests and our internal marketing team. Podcast-to-Sales System Execution Track and update guest journeys in the CRM (HubSpot preferred). Run follow-up sequences and ensure timely communication post-recording. Keep detailed records of which guests convert into prospects or clients. Maintain and optimize SOPs for the Podcast Method. General VA & Support Jump in where needed to ensure the system flows — from scheduling to guest communications to deliverables. Support leadership, sales, and marketing teams with related podcast growth tasks. Troubleshoot tech or workflow issues quickly and resourcefully. Success in This Role Looks Like: Every guest experience is smooth and professional. Episodes are delivered, published, and distributed on time. Guests are nurtured into sales opportunities, with tracking in place. Leadership does not need to step in — the Podcast Method runs end-to-end. Proven VA or operations support experience, ideally with marketing/podcasting exposure. Familiarity with podcast production workflows, publishing platforms, and social media promotion. Strong communication and copywriting skills for outreach and follow-up. CRM experience (HubSpot preferred) and project management tools (Asana, Airtable, Trello). Highly adaptable — able to “figure it out” and deliver on a wide variety of tasks. Organized, detail-oriented, and self-driven.
