Position: General Virtual Assistant (Executive Assistant Focus)
Working Hours: US Business Hours
Hiring Company: We run customer service operations for e-commerce stores, providing customer service agents as well as customer service operation management and infrastructure improvements (workflow improvements, reporting, AI, etc.). We launched in 2015 with a fully remote team of 100+ employees in the Philippines (including Managers, Client Management, Sales, etc.) and a great culture.
About the Role: We are looking for a detail-oriented and proactive General Virtual Assistant with a strong background in Executive Assistance. In this role, you will provide high-level administrative support while managing various operational and project-based tasks. If you have experience with AI software, project management tools, and remote collaboration, we’d love to hear from you!

QUALIFICATIONS:

  • 1+ years of experience as a Virtual Assistant with a focus on Executive Assistance
  • Strong proficiency in AI tools (e.g., ChatGPT, Notion AI, Jasper, etc.)
  • Experience managing project management tools like Asana, Trello, or ClickUp
  • Excellent English communication skills (written and verbal)
  • Strong organizational and time-management skills
  • Ability to multitask and prioritize tasks efficiently
  • Tech-savvy and comfortable using productivity software (Google Suite, Microsoft Office, Slack, etc.)
  • Ability to work independently with minimal supervision

NICE-TO-HAVE SKILLS:

  • Experience handling basic graphic design tasks (Canva, Adobe Express)
  • Social media management experience

      Responsibilities

      Executive Assistance (50%)

      • Manage calendars (Google Calendar, Calendly) and schedule meetings
      • Handle email management and correspondence
      • Organize travel arrangements, expense reports, and itineraries
      • Prepare reports, presentations, and meeting minutes
      • Maintain confidentiality and handle sensitive information

      General Operations Assistance (50%)

      • Assist with data entry, research, and document preparation
      • Manage and update project management tools (Asana, Trello, ClickUp, etc.)
      • Handle basic bookkeeping or invoicing tasks
      • Coordinate with different teams and stakeholders to ensure smooth workflow
      • Provide customer support via email, chat, or social media (as needed)
