Description As a Post-Closing Assistant, you will be the organizational hub of our Post-Closing department, playing a vital administrative role in the final stages of the mortgage process. Your primary mission is to provide essential support by managing documents, processing critical trailing documents, and ensuring our pipelines are meticulously tracked. This role is a fantastic opportunity to learn the mortgage industry from a critical vantage point and is perfect for a highly organized individual who excels in a fast-paced, process-driven environment. Responsibilities Document & Mail Management: You will process all incoming and outgoing mail and overnight deliveries for the department. You'll also receive and audit trailing loan documents, preparing them for shipment to investors. Pipeline Monitoring & Data Entry: You will monitor post-closing pipelines to ensure all closing packages and documents are received and processed within established timelines. You will also accurately record and track the status of all documents in our loan origination system. Client & Servicing Communication: You will notify borrowers via email and phone when their loan has been sold to an investor and will prepare and send the final document package to the borrower. Team Support: You will provide general administrative support to the post-closing team, including preparing documents, following up on outstanding items, and assisting with special projects. Requirements Required Experience: 0-1 years of experience in an administrative, data entry, or office support role. Detail-Orientation: Exceptional attention to detail and a high degree of accuracy are essential for this role. Organizational Skills: Strong organizational skills with the ability to manage a high volume of tasks and follow established processes precisely. Technical Skills: Proficiency with the Microsoft Office Suite (especially Outlook and Excel) and the ability to quickly learn new software. Preferred Any experience in the mortgage, banking, or real estate industry is a strong plus. Experience handling time-sensitive or confidential documents.
