The Role We have a rewarding opportunity for an experienced legal secretary to join our market-leading Public Sector team in Sydney as a Practice Administrator (PA) on a full-time, permanent basis. In this pivotal role, you will provide high quality administrative and secretarial support to a Partner and team of lawyers. This role also offers the opportunity to gain hands-on experience with coordinating client events and other business development initiatives. Key responsibilities In this varied role, you will be responsible for: Working closely with a team of fee-earners to support with general administrative tasks, client management, timesheets and other ad hoc tasks to deliver exceptional service to our clients. General accounts management, client reporting and monthly billing. Corresponding and coordinating with clients, counsel, consultants and internal Clayton Utz teams including Finance and IT. Preparation of presentations, correspondence and similar documents. File and matter management, including conflict checking, matter opening and closing. Proactively managing telephones, email, electronic diaries and voicemail for the Partner and team members. Organising meetings and travel. Supporting our Clients and Markets team with events coordination and general business development initiatives. Skills & Experience To be successful in this role, you will have: Minimum 5 years’ experience in a legal secretarial role supporting Partners or C-level executives in a law firm or similar professional services firm. Experience with events coordination will be highly regarded. Ability to show initiative and take responsibility for daily tasks. A positive, friendly, solutions and team-focused mindset. Excellent written and verbal communication skills. A flexible and collaborative approach to working with different stakeholders and their unique styles. An organised, efficient approach to administrative tasks with the ability to effectively prioritise to meet deadlines. Experience with client billing processes, including using Aderant / CMS or similar financial software. Advanced skills with Microsoft Office (Word, Excel, PowerPoint, Outlook). Why Clayton Utz?
