JOB SUMMARY:

We are seeking an experienced Practice Assistant to support the Labor & Employment section in our regional office. This role is responsible for assisting attorneys with administrative and legal tasks, including preparing and formatting legal documents, managing case files, coordinating schedules, and ensuring deadlines are met. The Practice Assistant plays a crucial role in supporting the efficiency of the legal team and ensuring compliance with legal procedures.

MINIMUM EDUCATION & EXPERIENCE REQUIREMENTS:

  • Experience: 1–3 years of litigation or legal experience.
  • Education: High school diploma required; college degree preferred.
  • Technical Skills: Prior experience using document management systems (NetDocs preferred).
  • Proficiency in MS Word, Outlook, and Excel.

SPECIAL REQUIREMENTS:

  • Ability to organize, prioritize, and manage multiple time-sensitive tasks in a fast-paced environment.
  • Excellent written and verbal communication skills.
  • Strong attention to detail and problem-solving skills.
  • Ability to work overtime as needed.

KNOWLEDGE, SKILLS, AND ABILITIES:

  • Strong proficiency in legal document formatting and court filing procedures.
  • Ability to research and adapt to court rules and administrative regulations.
  • Effective communication and interpersonal skills for working with attorneys, clients, and external parties.
  • Ability to work both independently and collaboratively as part of a team.
  • Initiative to anticipate needs and solve problems proactively.
Responsibilities
  • Type, proofread, format, and edit correspondence, pleadings, memoranda, agreements, and other legal documents under time-sensitive deadlines.
  • Assist with drafting pleadings and other legal documents as needed.
  • E-file court documents in state and federal courts; research filing procedures for different jurisdictions and administrative agencies.
  • Create and maintain electronic and paper case files, ensuring organization and compliance with retention policies.
  • Open new client matters following the firm’s business intake process.
  • Schedule appointments, depositions, client meetings, and maintain attorney calendars.
  • Track litigation deadlines and ensure all deadlines are met.
  • Prepare and submit expense and reimbursement reports.
  • Liaise with document services for all document production projects.
  • Stay informed on laws, rules, processes, and procedures relevant to the practice area.
  • Communicate professionally with witnesses, clients, colleagues, and opposing counsel.
  • Conduct basic legal research and analysis as required.
  • Collaborate with litigation colleagues in the specified practice area and across the firm.
  • Perform other duties as assigned.
