How you will make an impact
The Practice Coordinator – Emergency Department (Clerical) is a key leadership role responsible for overseeing the administrative operations within the Emergency Department (ED). Reporting to the Patient Services, Operational Performance Manager, this position ensures the smooth and efficient functioning of the ED Clerical team, with a strong focus on delivering outstanding customer service to patients and their families.
The Coordinator will lead by example, fostering a culture of excellence and compassion consistent with Cabrini Health’s commitment to high-quality care. This includes collaborating closely with medical, nursing, and administrative staff to uphold professional standards and support the patient journey through timely, respectful, and responsive service.

Key responsibilities will include:

  • Leading a customer-focused team to ensure high patient satisfaction
  • Streamlining patient registration, billing, telecommunications and clerical services
  • Managing clerical staff scheduling and end-to-end invoicing in the ED
  • Monitoring clerical performance and payment collection (attendance fees, Doctor’s Medicare portion and any inpatient out of pockets) to meet KPIs
  • Identifying service growth opportunities and enhancing financial accuracy
  • Building team rosters considering budget, skills mix and compliance with the relevant Enterprise Agreement
  • Collaborating with clinical teams across the hospital to ensure timely administration compliance for inpatient admissions and medical record requirements
  • Handling complex escalations, including eligibility, feedback and fund compliance

About you

The role requires familiarity with emergency department operations and patient flow or large ‘super’ clinic environment that housed medical and support services e.g. radiology & pathology; multiple medical providers. You will also need to have the following:

  • Proven experience managing multi-disciplinary teams in a fast-paced environment
  • Staff rostering, recruitment, onboarding, and performance management experience
  • Financial experience in reconciling billing and ‘cash drawers’
  • Understanding of bulk billing, gap payments, and patient eligibility requirements
  • Sound knowledge of medical terminology, Medicare Benefits Schedule (MBS) items relevant to ED
  • Understanding of staffing requirements and award compliance for medical and administrative staff
  • Professional verbal, written and interpersonal communication skills
  • Ability to maintain confidentiality and discretion when dealing with patients and medical records
