Responsibilities:

As the Practice Coordinator, you will be responsible for managing and streamlining all administrative processes that ensure the clinic operates efficiently. You will support both the veterinary team and clients through effective scheduling, resource management, and communication. Key duties will include:

  • Administrative Management: Oversee day-to-day operations, including appointment scheduling, patient records management, and client communication. Ensure that all administrative procedures are followed accurately.
  • Staff Coordination: Assist with staff scheduling, timekeeping, and managing the day-to-day workflow of the team. Work closely with senior staff to ensure adequate coverage for all shifts.
  • Financial Administration: Handle invoicing, billing, and payments, ensuring all financial processes are accurate and up-to-date. Track accounts receivable and assist in managing the clinic’s budget.
  • Inventory Control: Manage the ordering and stocking of medical supplies, pharmaceuticals, and office materials. Ensure the clinic is well-equipped and supplies are efficiently maintained.
  • Client Relations: Ensure a high level of client satisfaction through clear communication, managing appointment reminders, and addressing any administrative concerns from clients.
