This individual will work closely with the Medical Director and report directly to the Operations Director, serving as a bridge between business operations and medical care. Key Responsibilities Management & Administration * Collaborate weekly with the Medical and Operations Directors for strategic planning and delegation. * Lead and document staff and leadership meetings; utilize SMART goals to guide projects. * Coordinate staff scheduling and payroll to meet hospital needs and control costs. * Manage inventory, equipment needs, and facility maintenance. * Develop, implement, and uphold hospital protocols, procedures, and compliance standards. * Maintain and track progress on key operational tasks and projects via Smartsheet. Financial Oversight * Use KPIs to monitor performance and make data-driven decisions. * Approve purchases and oversee bank deposits and daily reconciliations. * Assist with paraprofessional salary assessments in coordination with leadership. Team Leadership & Development * Recruit, develop, and mentor paraprofessional staff and department leads. * Conduct biannual evaluations and provide goal-focused feedback. * Foster a culture of independence, collaboration, and positive communication. * Support conflict resolution and staff development in emotional intelligence and communication. Client Service & Patient Care * Uphold high standards for client interaction and patient care, train and coach staff accordingly. * Collaborate with the Marketing team to address and learn from client feedback. * Support treatment planning and coach team members in real-time clinical settings. * Monitor workflow across departments to ensure efficiency and quality. Qualifications Education * Bachelor’s degree or relevant veterinary practice management experience required. Skills * Strong leadership and communication abilities. * High emotional intelligence and confidence navigating difficult conversations. * Ability to collaborate across teams while managing independently. Physical Requirements * Capable of lifting up to 25 lbs independently, over 25 lbs with assistance. * Ability to sit, stand, and walk on hard surfaces for extended periods. * Comfortable working in a fast-paced, noisy clinical environment. Technical Proficiency * Familiarity with practice management systems, Smartsheet, scheduling and HR software, and reporting tools.
