Description Position Overview: The Practice Support Specialist provides administrative and operational support for work processes across multiple practices. Ideal candidates will be well-versed in a variety of office-related tasks, be able to work with little direction, be proactive and anticipate the needs of the department. Essential Functions: Take full ownership of assigned operational processes within practices. Create, send, and track contract documentation for new and existing clients. Set up and maintain new client profiles and tracking systems. Draft and finalize client proposals. Prepare various documents as needed, including correspondence, meeting agendas, supporting materials, and meeting notes. Collaborate effectively with all members of the department and administrative team. Proactively resolve time-sensitive issues, demonstrating sound judgment and strong problem-solving skills. Assist with special projects as assigned. Manage expense reports for department leaders. Extract, clean, and integrate data from multiple internal systems to create actionable reports and dashboards in Excel and Power BI. Provide calendaring support for leaders, clients, and trainings. Support the planning, logistics, and execution of department events, meetings, travel and team activities. Qualifications: Associate’s or Bachelor’s degree, or equivalent practical experience. Minimum of 3 years of administrative support experience (executive-level preferred). Excellent written and verbal communication skills. Exceptional organizational skills with a strong attention to detail. Ability to handle confidential information with discretion. Self-starter and critical thinker who can shift priorities quickly and work independently. Strong proficiency in Microsoft Office Suite, including Outlook, Word, Excel, Teams, and PowerPoint. Familiarity with Power BI is beneficial but not required.
