RESPONSIBILITIES

  • Strong organizational, time management, and attention-to-detail skills.
  • Intermediate computer skills. Proficiency in Microsoft Office, Outlook, and ability to learn new software.
  • Experience using tools such as Bluebeam, Unanet, Destini, Toggle AI, and/or CRM systems preferred.
  • High School Diploma required; Associate or Bachelor’s degree in Construction, Engineering, or related field preferred.
  • Must be able to sit for extended periods and commute or relocate to Dallas, TX 75206.

CORE RESPONSIBILITIES

  • Coordinate bid-related tasks including ITB setup, document organization, takeoff tracking, and plan overlays.
  • Collect and manage project data, track sales pipeline and departmental initiatives.
  • Support trade partner relationship-building through events, prequalification, and feedback tracking.
  • Maintain unit cost, VE, and project databases for preconstruction analysis and reporting.
  • Prepare weekly reports, support estimating efforts, and contribute to onboarding and training initiatives.
  • Serve as a technical liaison for preconstruction software systems and develop process improvements.

DETAILED RESPONSIBILITIES

  • Administrative Support:
  • Set up estimate folders and organize project documentation.
  • Use Bluebeam for page labeling, overlays, and slip sheets.
  • Set up Invitations to Bid (ITBs), manage estimating calendar and Bridget.
  • Assist in subcontractor prequalification and relationship-building efforts.
  • Create project info sheets, feedback forms, and coordinate trade partner events.
  • Management Support:
  • Prepare and distribute the Weekly Report Stack including project tracking, subcontractor updates, birthdays, and bid lunches.
  • Track departmental initiatives and provide support for estimate reconciliation and audits.
  • Training & Onboarding:
  • Create and organize training videos, onboarding packages, and lessons learned documentation.
  • Technical Support:
  • Maintain and update unit cost, project, VE, and CRM databases.
  • Analyze project data, generate reports, and support data-driven decision-making.
  • Serve as technical specialist for preconstruction software and develop training resources.
