Responsibilities

ROLE PURPOSE

The Pre-Sales Administrator (Quotation Specialist) plays a vital role in supporting the sales team by preparing accurate, timely, and commercially viable quotations for new projects. This position ensures that customer requirements are translated into well-structured proposals by coordinating closely with internal departments and maintaining a strong understanding of product offerings and project specifications. The role is key to enabling efficient pre-sales operations, improving quote turnaround times, and contributing to the successful conversion of opportunities into secured projects.

KEY RESPONSIBILITIES

· Prepare accurate and timely quotations for new lighting projects based on client requirements, architectural drawings, and technical specifications.
· Coordinate with sales team to ensure quotations align with product capabilities, availability, and design intent.
· Act as the primary administrative support for the sales team during the pre-sales phase.
· Respond promptly to client and sales team inquiries related to pricing, lead times, and product availability.
· Liaise with clients and sales team when clarification is needed regarding specifications, quantities, or special requirements.
· Organise and manage all quotation-related documentation, including revision histories, approvals, and submitted versions.
· Ensure all quotes are correctly logged in NetSuite and saved Drop Box.
· Track open quotes and follow-up when out of validity to review status.
· Maintain a working understanding of the lighting product portfolio, including technical specifications, applications, and installation considerations.
· Identify opportunities to improve quoting efficiency, reduce turnaround time, and eliminate errors.
