Description

Terra Blanca Winery and Estate Vineyard is a premium family owned and operated winery and vineyard located on World Renowned Red Mountain. Terra Blanca is open year-round offering wine tasting in our Tuscan inspired tasting room, our Vineyard Grill serves up fresh Pacific Northwest cuisine, we have numerous wine and food events for our guests and we host both corporate and social private events. Terra Blanca produces luxury class wines and we are cultivating experiences to match. We are looking for a Private Event Execution Manager to transform confirmed bookings into seamless, memorable experiences. You will assist the Director of Sales & Marketing with planning details and client communications after receiving a contract, then take the lead on day-of execution and event staff management across multiple types of events to include: weddings, corporate, and social events.

EXPERIENCE

  • 2+ years in event operations/coordination, catering, or hospitality; winery/restaurant experience is a plus.
  • Demonstrated success executing events end-to-end (weddings, corporate, social) and communicating professionally with clients and vendors.
  • Strong organization, time management, and problem-solving under pressure; calm and guest-centric.
  • Leadership experience with hourly service teams: scheduling, training, coaching, and performance standards.
  • Familiarity with event logistics (BEOs, diagrams, AV basics, rental/vendor workflows) and office tools (Google/Microsoft). POS software a plus.
  • Required/able to obtain quickly: MAST and food handler permits; valid driver’s license.

SCHEDULE & PHYSICAL REQUIREMENTS

  • Full-time with a variable schedule driven by the event calendar; evenings, weekends, and holidays are standard.
  • Ability to lift up to 50 lbs., stand/walk for extended periods, and support indoor/outdoor sets in varied weather.

Responsibilities
  • Planning Support (post-contract)
  • Assist the Director of Sales & Marketing with planning tasks: creating timelines, building floor plans, Banquet Event Orders (BEOs), rental orders, and vendor coordination.
  • Conduct site tours and menu tastings as delegated; provide guidance on service flow, wine pairings, and guest experience.
  • Serve as a responsive point of contact for clients on logistics and confirmations; maintain accurate records and updates.
  • Event Execution & Team Leadership
  • Manage day-of operations: room set up, décor/AV oversight, vendor load-in/out, service timing, and quality control.
  • Schedule, train, and lead event staff; run pre-shift briefings; uphold safety/compliance (MAST, food safety, venue policies).
  • Anticipate issues and resolve them in real time while protecting the timeline and guest experience.
  • Post-Event & Administration
  • Complete post-event recaps, reconcile billing, and capture client feedback for continuous improvement.
  • Track and replenish event inventories (linens, service ware, décor); ensure venue readiness.
  • Cross-Department Support
  • Supplement hours in the Tasting Room, Vineyard Grill, and with general office tasks during non-event periods.
  • Collaborate on seasonal programming and hospitality initiatives.
