Description

POSITION: The Union League of Philadelphia, Private Events Manager at Liberty Hill
REPORTS TO: Private Events Director
The Private Event Manager is responsible for planning, coordinating, and executing private and social events from inception to completion. This role requires strong organizational, leadership, and customer service skills to ensure seamless event experiences that exceed member/client expectations while meeting financial and operational goals.

Key Responsibilities

  • Design, plan, and execute a variety of private events, including weddings, social gatherings, milestone celebrations, and corporate functions.
  • Manage the sales process from inception to fruition: qualify leads, show space, facilitate League tours. Prepare proposals, contracts, budgets, and private event orders tailored to each event’s needs in a timely fashion.
  • Source, negotiate, and manage vendor relationships (caterers, florists, entertainment, décor, audiovisual, etc.).
  • Collaborate with operational teams to coordinate event logistics, set-ups, audio visual, food and beverage needs.
  • Serve as the primary point of contact for clients, ensuring clear communication and exceptional service throughout the planning process.
  • Greet members, clients and guests at the start of each event and introduce to banquet captain and key staff members while acting as a liaison between client and staff., providing leadership to ensure smooth execution and a high standard of guest service.
  • Monitor event timelines, troubleshoot issues in real time, and adjust as necessary to guarantee success.
  • Ensure compliance with safety, health, and venue regulations.
  • Manage reservations as needed while communicating specifics to Lodge Director and front desk managers and agents.
  • Communicate with Director of Security as needed the arrival and departure of VIP Guests, dignitaries and public officials attending booked events.
  • Other Tasks as assigned

Qualifications:

  • Bachelor’s degree preferred
  • Minimum of 3-years’ experience in event planning or hospitality, with a focus on private/social events.
  • Strong organizational and time management skills with the ability to handle multiple projects simultaneously, in a fast-paced environment.
  • Excellent communication, negotiation, and interpersonal skills.
  • Knowledge and comfort of the Sales Process
  • Creative problem-solving abilities and attention to detail.
  • Flexible schedule, with availability to work evenings, weekends, and holidays as required.
  • Professional demeanor and style
  • Experience with JONAS, ACT & PRISM a plus
