Description

This position is responsible for assisting the Private Events department in planning, billing, selling and coordinating all aspects of private events and meeting functions held within the Club to achieve the annual private event sales plan.

Responsibilities
  • Responsible for updating all menus in Club systems, creating custom personalized menu cards, and food indicators when appropriate.
  • Connect with F&B team when changes are implemented and update via email, print three copies and post in BEO book, banquets board and banquet Chef’s kitchen board.
  • Responsible for meeting with clients to determine event needs & schedule final detail meetings.
  • Analyzes the requirements of the function and decides the necessary type of service; works with published menus or menu proposals, draws up contracts, procures client’s signature, and collects necessary deposit and payments per accounting policy. Responsible for daily coordination of private events and operations including obtaining food and beverage selections, final guest count, ordering audio visual, specialty items, signed BEOs, and distribution of banquet event orders.
  • Wednesday distribution packets delivered to Banquets, Chef’s office, and back office (BEO Book).
  • Assists the Private Events Director with client communication reminders.
  • 21 days out – deadline reminder for F&B selections
  • 14 days out – F&B selections are due, deadline reminder for final guarantee and meal counts
  • 10 days out – final guarantee and meal counts (if applicable) are due, email BEO for signature
  • Responsible for daily coordination of private events and operations including getting final guests, signature, payments, ordering audio visual, specialty items and distribution of banquet event orders.
  • Actualizes Micro tickets from previous days, notes any refunds, and collects final payments with ESD approval.
  • Networking inside and outside the Club to obtain leads and build relationships with new and existing clients.
  • Provides support in execution of business development strategies set forth by Event Sales Director.
  • In the absence or unavailability of the Event Sales Director, meet with prospects taking initial information, answering questions the prospect(s) may have regarding private events, and giving a tour of Club spaces when it is deemed appropriate. All information will be communicated to the Event Sales Director.
  • Oversees resets and have full understanding of banquet event orders and diagrams.
  • Attendance at all required Private Events Meetings.
  • Responsible for updating all menus in club systems. Keeps systems up to date and accurate.
  • Maintains all files for Private Event Director(s), Managers and ensures all contracts, procures client’s signature, and collects necessary deposit and payments per accounting policy.
  • Assists Private Event Director(s), Manager with all office paperwork including tracking all expenses incurred by the Private Event Department are accurately recorded and are within financial guidelines.
  • Input all Micros tickets into Caterpro at the end of the event and event is closed within 48 hours of occurrence.

    Pay: $25.00 - $30.00 per hour
