Roles & Responsibilities

  • Monitoring and expediting purchase orders from PO placement through final delivery.
  • Following up with vendors and manufacturers on engineering, manufacturing, inspection, testing, and delivery schedules.
  • Preparing and maintaining detailed Expediting Reports, Vendor Status Reports, and Procurement Trackers.
  • Monitoring vendor manufacturing progress against approved project schedules.
  • Coordinating with Procurement, Engineering, QA/QC, Project Management, and Logistics teams.
  • Following up on technical document submission, review, approval, and resubmission.
  • Monitoring Material Requisitions, Purchase Orders, Inspection Requests, ITPs, FAT, and release documentation.
  • Identifying potential delays, bottlenecks, and critical-path issues and escalating them proactively.
  • Conducting vendor visits and attending progress meetings, inspections, and manufacturing follow-ups when required.
  • Coordinating with third-party inspection agencies and QA/QC teams.
  • Tracking material readiness, packing, dispatch, shipping, and delivery.
  • Reviewing vendor schedules and recovery plans for delayed procurement packages.
  • Maintaining accurate documentation and updating project procurement schedules.
  • Preparing weekly and monthly expediting reports for management and project teams.
  • Ensuring compliance with project specifications, company procedures, and client requirements.
  • Coordinating with suppliers for Manufacturing Data Books (MDB), Certificates, Inspection Reports, Test Certificates, and shipping documents.
  • Handling multiple vendors and procurement packages simultaneously under tight project deadlines.

Desired Candidate Profile

  • Strong knowledge of ADNOC projects and Iraq Oil & Gas projects.
  • Proven experience with Oil & Gas equipment, materials, and procurement packages.
  • Strong understanding of vendor manufacturing and delivery processes.
  • Excellent vendor follow-up, coordination, communication, and negotiation skills.
  • Ability to identify and resolve delivery and schedule-related issues.
  • Strong knowledge of project schedules and procurement milestones.
  • Proficient in MS Excel, MS Office, and procurement/ERP systems.
  • Ability to prepare professional expediting and progress reports.
  • Detail-oriented, proactive, and highly organized.
  • Ability to work under pressure and meet strict project deadlines.
  • English proficiency is mandatory.
  • Preference given to candidates currently residing in the UAE with relevant Oil & Gas expediting experience.
